Accountabilities
- Supplier procurement; Negotiations Appointment Management and Review processes.
- Support Event Director Operations Director and Course Director with Administrations requirements incl. Event Plans Supplier Agreements Staff Agreements.
- Assist the planning of Site layout flow and operational elements to ensure a safe and successful delivery of our event portfolio.
- Continue to challenge the status quo to find efficiencies and develop our events to enhance participant experience and event delivery.
- Regular meetings and calls with stakeholders.
- Coordinate and manage temporary event staff rosters for the casual labour force.
- Support the implementation of safety and risk management planning.
- Prepare and implement OHS event safety planning and inductions.
- Liaise with accounts on invoicing and reporting as required including vendor set up
- Post sales retail exhibitor roll out
Key Responsibilities
- Liaise with Operations Director to set clear work schedules and tasks to plan out upcoming events incl. forward thinking and early planning.
- Plan implement and review event operations and logistic processes.
- Support Event Director and Operations Director with stakeholder management Incl. regular Stakeholder meetings.
- Appoint and on-board suppliers in conjunction with the Operations Director incl. forklifts two way radios engineer signage fire extinguishers marquees PA system etc
- Support the Operations Director with administration requirements including Event Plans OH&S
- Plans Event permit applications staffing and contractor agreements.
- Produce and manage delivery schedules and inventory lists.
- Manage the event compound area including sponsor and exhibitor deliveries.
- Source operational casual staffing as required incl. paperwork.
- Coordinate and manage event village and expo.
- Support and assist the events volunteer program.
- Liaise with event venue management team in planning and delivery of the events.
- Plan and manage an Entertainment program
- Assist with accreditation distribution.
- Plan implement and manage parking requirements
- Liaise with internal IMG departments to coordinate; IT requirements (phone lines) Finance Department (Accounts Payable processes) and Human Resource Department (Supplier and Staff agreements)
- Roll out of MIFGS post sales retail program including direct exhibitor liaison contractor fulfilment and full service operations.
