Job Description

We have an immediate opening for a Car Deal Processing Clerk. Come join our team!

  • Hourly Pay starting at $21.00 per hour DOE

The Car Deal Clerk is responsible for supporting the sales department by handling the paperwork documentation and administrative tasks related to vehicle sales. This includes ensuring that all necessary forms are completed accurately tracking vehicle titles and ensuring compliance with financial and legal regulations. The role may involve interacting with customers financial institutions and government agencies to facilitate vehicle transactions.

Essential Job Responsibilities:

Document Management:

  • Prepare Contracts: Prepare and review contracts and agreements for vehicle sales ensuring accuracy and compliance with company policies and state/federal regulations.
  • Title and Registration: Process title transfers registrations and other documentation required for vehicle sales ensuring that all legal paperwork is completed properly.
  • Financing and Leasing: Work closely with the finance department to ensure that all financing paperwork is accurately completed and submitted to the appropriate financial institutions for approval.
  • Deal Filing: Maintain organized records for all car deals ensuring all forms are filed correctly for easy retrieval auditing and future reference.
  • Compliance: Ensure that all sales transactions comply with local state and federal laws including sales tax and documentation requirements.

Customer Service:

  • Customer Interaction: Assist customers by answering questions about the paperwork and ensuring they understand the terms of the car deal.
  • Issue Resolution: Address and resolve any discrepancies or issues that arise during the car deal process including coordinating with other departments to facilitate solutions.

Communication:

  • Dealer Coordination: Communicate with other dealership departments (sales finance service) to ensure smooth transactions and vehicle deliveries.
  • External Communication: Work with external parties such as state DMV (Department of Motor Vehicles) banks and insurance companies to process necessary paperwork.

Data Entry and Reporting:

  • Data Entry: Accurately enter and update vehicle sales data into the dealerships management system or other platforms.
  • Sales Reporting: Assist in generating reports on car deals commissions and other related sales activities for management review.

Miscellaneous Tasks:

  • Sales Support: Provide administrative support to the sales team as needed such as processing customer orders or assisting with vehicle delivery coordination.
  • Maintain Records: Keep track of inventory and ensure that car deals are appropriately linked to the right vehicles in the dealerships system.

Physical Demands:

  • Sitting and Desk Work: The majority of the work involves sitting at a desk working on computers entering data and handling paperwork for long periods.
  • Standing and Walking: Occasional walking and standing may be required especially when interacting with customers managing paperwork or filing documents.
  • Lifting: There may be some light lifting (up to 20 pounds) when handling files or organizing documentation.
  • Repetitive Movements: Frequent use of a computer keyboard and mouse for data entry and document processing.
  • Attention to Detail: A significant part of the role requires focusing on the accuracy of paperwork which involves meticulous attention to detail.
