Job Title: Executive Assistant
Location: Remote (Must be available during LA business hours 8 AM to 6 PM PT)

Position Summary
We are seeking a highly skilled Senior Executive Administrative Professional to serve as the operational backbone of a real estate investment firm. This role is ideal for a detail-oriented tech-savvy professional who can manage sophisticated administrative responsibilities coordinate complex projects and oversee LLC formation and compliance across multiple entities.
Primary Responsibilities
- Document Management
Maintain organized accessible file structures across Google Drive ensuring immediate availability for real-time document sharing during business hours. - Entity Management
Oversee the formation of new LLCs and manage ongoing compliance across multiple entities. Coordinate directly with attorneys on filings renewals and maintenance of corporate records. - Technology Administration
Serve as a power user of driving process improvements and optimizing workflows. Leverage Canva for the creation of marketing materials. Manage and enhance CRM systems to support operational efficiency. - External Communications
Act as the primary point of contact with external stakeholders including lenders banks insurance providers and legal counsel. Coordinate third-party inspections and vendor services with independent spending authority up to $2000. - Project Management
Lead coordination of multi-step projects by tracking timelines managing deliverables and ensuring effective team collaboration across departments and functions. - Specialized Tasks
Organize and maintain closing documentation manage the of cost-segregation studies and handle coordination with registered agents across all entities. - Decision-Making Authority
- Independent Authority: Approve payments for inspection reports and standard vendor services
- Requires Executive Approval: Structural changes DocuSign authorizations and LLC formation documents.
Required Qualifications - 3 to 5 years of executive administrative experience (real estate or finance industries preferred)
- Advanced proficiency in Canva Google Workspace and CRM systems
- Demonstrated experience in LLC formation and corporate compliance management
- Exceptional written and verbal communication skills for interfacing with financial legal and insurance professionals
- Strong organizational and project management skills with the ability to handle confidential information discreetly
