Job Description

We are seeking an experienced Executive Assistant to support the Superblock (SBK) Director within the Strategic Deterrence (SD) Directorate. In this dynamic role you will deliver comprehensive high-level administrative support across a wide range of programmatic and operational functions at the Laboratory. Success in this position requires exceptional organizational skills discretion and the ability to build strong relationships with senior leaders at LLNL and key external partners including the NNSA/DOE Laboratory Field Office and Headquarters other DOE laboratories the Department of Defense Congress academia local community leaders and private industry. You will thrive in a fast-paced environment with shifting priorities tight deadlines and the handling of highly sensitive or classified information. This position is in the Strategic Deterrence (SD) Directorate.

This position may offer a hybrid schedule which includes the flexibility to work from home one or more days per week after a probationary period. The specifics of the hybrid schedule including the exact number of days required in the office and virtual work options may vary based on the needs of the team and the organization.

In this role you will

  • Serve as the primary administrative point-of-contact for the Program Director (PD) and Senior Staff acting on their behalf to clarify coordinate communicate and disseminate information both internally and externally.
  • Independently organize prioritize and coordinate the PDs and Senior Staffs complex and often confidential calendars with authority to commit their time. Manage the scheduling of intricate meetings and coordinate all administrative arrangements for high-level meetings and special events both on-site and off-site.
  • Compile research and analyze information and data from a variety of internal and external sources; coordinate findings and communicate results to senior-level stakeholders.
  • Review documents and materials submitted for PD approval to ensure completeness and accuracy. Draft and finalize correspondence reports agendas memoranda and other sensitive documents for management and personal signature.
  • Arrange and coordinate complex domestic and international travel for the PD and staff including handling special requirements and logistics.
  • Independently review and respond to mail and inquiries determining when executive action is required. Refer matters to appropriate staff and follow up to ensure a timely and proper resolution.
  • Screen calls and visitors respond to questions resolve administrative issues and provide backup administrative support to other team members in the Program Office.
  • Contribute to the development and improvement of administrative practices and procedures to enhance office effectiveness.
  • Perform additional duties as assigned.

 


Qualifications :

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
  • Advanced executive assistant skills including fast and accurate keyboarding excellent grammar proofreading and editing abilities. Demonstrated expertise in using personal computers and advanced proficiency with office software including PowerPoint and Excel.
  • Advanced knowledge and experience in exercising judgment and discretion when handling sensitive and confidential information including classified documents.
  • Strong problem-solving and decision-making skills with the ability to independently recommend and implement appropriate actions and solutions.
  • Excellent organizational skills attention to detail and accuracy. Demonstrated flexibility and ability to prioritize and manage multiple complex tasks under tight deadlines and frequent interruptions.
  • Advanced communication and interpersonal skills to effectively interact with and represent the Program Office to all levels of management and external contacts.
  • Demonstrated ability to handle sensitive and confidential matters with tact and discretion and to work effectively with a wide range of individuals including those in government academia and the private sector.
  • Excellent written communication skills with the ability to develop formal correspondence agendas reports and procedures with a high degree of accuracy and attention to detail.
  • Ability to work independently as well as collaboratively within a team environment adapting to frequently changing priorities.

Qualifications We Desire

  • Experience in a scientific or technical program.
  • Experience working in a classified environment.
  • Broad institutional knowledge of the Laboratory and its programs.
