$55500.00 AnnualGeneral Description / Primary Purpose:
This position provides event management support and guidance to departments within the Silverfield College of Education and Human Services (SCOEHS). This position assists the SCOEHS Dean with internal and external priorities as well as conducts research to provide support for the Deans Office strategic initiatives. This position works directly with the SCOEHS departments to provide operational support. This position serves as a resource to administrative specialists within the SCOEHS and will be the first point of contact for the SCOEHS departments. This person must work independently planning organizing and coordinating work assignments with minimal direction. This position must be skilled at continually improving the way business is conducted by developing improved systems processes and procedures.
Job Function:
Deans Office Strategic Initiative Support and Administration
(1) Provides support for the SCOEHS Dean in developing strategic initiatives aligned with the Universitys strategic plan and the University Presidents annual goals.
(2) Conduct in-depth research to support the Deans Office strategic initiatives.
(3) Event management for SCOEHS Deans Office and departmental activities.
(4) Assists the Associate Director of Operations/College Budget Officer with budget tracking and management for SCOEHS events.
(5) Serves as support for all HR and Operations activities when there is administrative turnover.
(6) Provides backup to other Deans Office staff.
(7) Arranges travel meetings and appointments for the SCOEHS Dean and Associate Deans.
(8) Interacts with internal and external stakeholders.
SCOEHS Operations and Human Resources
(1) Responsible for Federal Work study Student (FWS) Hiring
(2) Handles all phases of the FWS Student hiring process.
(3) Manages new hire processes for departments using FWS students.
(4) Supervises all FWS students hired for SCOEHS departments.
(5) Trains and reviews the performance and professional development of all SCOEHS FWS students.
(6) Serves as the SCOEHS Faculty Search Liaison for full-time faculty searches.
(7) Schedules all Search Committee meetings and maintains all relevant records according to UNFs Search & Screen Policy.
(8) Manages the travel and expenses of all on-campus faculty search candidates.
Marginal Functions:
5% - Assists with answering the telephone and providing information to inquiries received or referring inquiries to appropriate unit for action. Deals with complex queries and complaints on the telephone and in person. Filing paperwork as needed.
Departmental Requirements:
Skills in MS Office Word and Excel UNF internal systems: Banner/Workday Scholarship Universe etc. and excellent organizational skills. Ability to effectively manage multiple administrative tasks. Ability to develop new procedures and analyze then solve problems. Ability to communicate effectively both orally and in writing. Good interpersonal communication skills. Ability to interact with the public in a professional manner. Knowledge of administrative procedures and practices. Knowledge of the unique requirements of the higher education setting is preferred. A minimum of 2 years of experience in a directly related professional setting.
Supervision Exercised:
This position will be the first point of contact for event planning in the college. This position also supervises all Federal Work study Students for the SCOEHS.
Supervision Received:
Little or no supervision is expected to be needed after the employee is trained and established in the position. This position will respond to requests but is expected to conduct all routine business without oversight. Projects will be given to the incumbent but the mechanisms to achieve the desired goals should be able to be worked out by the employee without instruction.
Level of Public Contact:
The Coordinator of Strategic Initiatives is the liaison for internal and external stakeholders and works with the other Deans Office Staff and the Staff in the other two academic departments within SCOEHS greets visitors to the Deans Office when others are unavailable. The Coordinator will serve as the SCOEHS Search Liaison and will be required to contact candidates for employment to obtain search related documents or sensitive information required for the hiring process.
Monetary Responsibility:
This position will assist with budget reconciliations and report personnel and budget issues to the Associate Director of Operations as needed.
Policymaking and/or Interpretation:
Duties will include interpreting administrative and fiscal rules and policies to establish procedures set priorities and oversee the work delegated to other office staff working without direct oversight using independent judgment while maintaining a high level of confidentiality. This position will be expected to learn the existing system for management of personnel actions and the budget; but will then be expected to create and implement provide training and oversight for others in the office who will work within this system and support the efforts of the Coordinator.
Program Direction and Development:
The fiscal management and personnel databases maintained by the employee will provide a foundation vital to strategic planning and data-based decision making. This position will be expected to access information as requested and mine all data to generate studies and make interpretations as requested.

Required Qualifications:
This position requires either (a) Masters degree from an acceptable accredited institution in a directly related area of specialization; (b) Bachelors degree from an acceptable accredited institution in a directly related area of specialization and two years of experience directly related to the job functions; or (c ) 6 years of direct experience.
