The Fleet and Heavy Equipment Operations Specialist is responsible for overseeing the acquisition operation maintenance and compliance of a companys fleet and heavy equipment. This role ensures that all vehicles and machinery are efficiently utilized properly maintained and fully compliant with safety and regulatory standards. The specialist also manages the insurance process from policy selection to claims processing and leads investigations into vehicle and equipment accidents and incidents ensuring thorough analysis and resolution. Collaboration with operators mechanics vendors and insurers is essential to optimizing fleet operations minimizing downtime and controlling costs.
Key Responsibilities:
Fleet & Equipment Operations
- Manage the daily operations of fleet vehicles and heavy equipment to ensure efficiency and availability.
- Track equipment utilization performance and costs to optimize asset lifecycle management.
- Develop and implement preventive maintenance programs to reduce breakdowns and extend equipment lifespan.
- Coordinate repairs and inspections with internal mechanics and external service providers.
- Ensure compliance with all local state and federal transportation safety and environmental regulations.
Insurance & Risk Management
- Oversee the insurance process for all fleet vehicles and equipment including policy selection renewals and claims.
- Maintain up-to-date records of insurance policies claims history and compliance documents.
- Work with insurance providers to file claims assess damages and ensure timely resolutions.
- Implement risk management strategies to minimize insurance costs and prevent liabilities.
- Ensure all operators and fleet assets are properly insured and in compliance with company policies.
Accident & Incident Investigation
- Conduct thorough investigations of all vehicle and equipment accidents incidents and near-misses from initial report to resolution.
- Gather and analyze evidence including operator statements maintenance records GPS data and video footage.
- Work with law enforcement insurance adjusters and regulatory agencies as needed.
- Identify root causes and recommend corrective actions to prevent future incidents.
- Prepare detailed investigation reports including findings conclusions and recommendations for safety improvements.
- Implement post-incident training policy changes or corrective measures to enhance fleet safety.
Compliance & Safety
- Develop and enforce fleet safety policies and operator training programs.
- Conduct regular audits and inspections to ensure adherence to DOT OSHA EPA and other regulations.
- Monitor fuel usage emissions and maintenance logs to ensure environmental compliance.
- Implement and promote safety awareness initiatives to reduce accidents and operational risks.
Procurement & Vendor Management
- Manage the procurement leasing and disposal of fleet vehicles and heavy equipment.
- Negotiate contracts with suppliers insurers and service providers to optimize cost-effectiveness.
- Maintain accurate asset records including purchase history maintenance logs and depreciation reports.
- Recommend fleet upgrades or replacements based on operational data and cost-benefit analysis.
Qualifications :
- Proven experience in fleet management heavy equipment operations or a related field.
- Strong knowledge of vehicle and equipment maintenance procurement and lifecycle management.
- Expertise in accident investigations risk assessment and incident reporting.
- Familiarity with insurance processes claims handling and regulatory compliance.
- Understanding of safety regulations including DOT OSHA and EPA standards.
- Excellent analytical problem-solving and decision-making skills.
- Proficiency in fleet management software telematics and reporting tools.
- Strong communication and leadership skills to coordinate with operators insurers vendors and regulatory agencies.
