Position Summary
The Administrative Support Specialist plays a vital role in ensuring the smooth operation of the SILS administrative office by managing daily office procedures coordinating academic and administrative functions and maintaining business continuity. This 100% in-person position also serves as the Events Coordinator and Facilities Coordinator while providing direct support to the Associate Dean of Academic Affairs. The role involves regular interaction with students faculty staff and guests requiring a high level of professionalism and responsiveness. The specialist must effectively analyze prioritize and manage multiple complex and often confidential tasks. This includes making informed recommendations to improve workflow handling verbal and written communications and ensuring timely completion of assignments despite frequent interruptions. Success in this role demands precision adaptability and the ability to operate with discretion in a dynamic environment where priorities shift based on the evolving needs of the school and its strategic partners.
Required Qualifications Competencies And Experience
Intermediate knowledge and application of office practices and procedures. Proficiency with Microsoft Office Suite (Word Excel Outlook PowerPoint) Intermediate computer skills. Effective phone etiquette skills. Must be able to communicate effectively in both written and verbal form. Must maintain confidentiality of work-related information and materials. Ability to work independently and have a clear understanding of accountability. Significant grasp on appropriate escalation when issues arise. Ability to perform work functions during the span of SILS Office hours currently 8:00 AM 5:00 PM Personal Computer and other equipment associated with a general office environment (copier telephone fax etc.). A variety of word-processing spreadsheet database e-mail and presentation software. Combined skills in understanding counseling and/or influencing people are important in achieving job objectives causing action understanding others or changing behavior; and skills of persuasiveness or assertiveness as well as sensitivity to the point of view of others.
Preferred Qualifications Competencies And Experience
Experience using university systems such as PeopleSoft ConnectCarolina InfoPorte or similar enterprise platforms. Comfort with virtual meeting platforms (e.g. Zoom Microsoft Teams) and event coordination tools. Demonstrated ability to manage complex calendars schedule meetings and coordinate logistics for events and academic programs. Experience handling confidential information with discretion and professionalism. Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment. Familiarity with university policies procedures and academic operations. Experience supporting senior leadership or academic administrators. Knowledge of facilities coordination or space management in an academic setting.
