Executive Assistant Description

The Executive Assistant reports directly to the General Manager and supports members of the Executive Team by assisting them with their responsibilities or handling other day-to-day items. Duties include analysis of company information attending meetings taking notes helping organize various strategic planning processes across the organization and providing Executive team members with important company information or documents to prepare them for upcoming meetings or presentations. The Executive Assistant works with the General Manager to set and maintain focus on the organizations strategic initiatives including measuring reporting progress and articulating priorities.

Schedule:

Monday to Friday: 8AM - 5PM (reports to office daily)

Job Duties:

  • Prepares for and follows-up on meeting action items by supporting the development of agendas and key materials for the Executive team
  • Prepares for external meetings by ensuring the Executive team has all the necessary information to be productive and engaged.
  • Join key meetings to help coordinate follow-up and serve as support for key priorities.
  • Manages internal and external communications by drafting updates reports pitch decks speeches presentations and other marketing materials utilizing spreadsheets databases and other publishing applications.
  • Help facilitate completion of special projects by organizing coordinating information and communicating requirements; planning arranging and meeting schedules; monitoring and communicating results.
  • Utilizes email electronic calendars and other office support software for time management and meeting coordination.
  • Communicate information to customers supplier representatives and the general public in a professional manner.
  • Coordinates and communicates supplier and vendor bill back.
  • Understands the Companys business processes and the industry at large.
  • Occasionally assist in special event planning.

Qualifications

Skills/Qualifications:

  • Advanced skills in Microsoft Office (Word Excel PowerPoint)/ G-Suite Applications (Google Docs Sheets Slides).
  • Strong time management skills and organizational skills.
  • Strong presentation skills and particular expertise in designing effective charts graphs and tables. Highest level of integrity and management of confidential information.
  • Willingness to learn database management and working with relational databases.
  • Strong verbal and written communication skills; ability to communicate clearly and concisely to intended audiences.
  • Bachelor Degree Preferred
  • 1 years of experience
