The Division of Rehabilitation Services is seeking to hire a Student Life Secretary to perform complex secretarial functions for the Director of Student Life as well as the Residential Department at the Illinois School for the Visually Impaired (ISVI). The Student Life Secretary will act as campus wide travel coordinator and complete timekeeping duties for the department. This position relies on strong human relations skills since the Student Life Secretary will be interacting with a wide variety of people and serving as a receptionist for the department. The Student Life Secretary will establish and maintain physical and computer files and oversee updates and dissemination of all physical keys on campus.
Serves as Student Life Secretary.
Updates controls and disseminates all physical keys on campus.
Acts as campus wide travel coordinator.
Completes timekeeping duties as directed.
Serves as receptionist for the department.
Establishes and maintains physical or computer files and controls retention.
Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Requires knowledge skill and mental development equivalent to completion of two (2) years secretarial or business college and two (2) years secretarial experienceORCompletion of high school and four (4) years secretarial experience.
Requires ability to keyboard accurately at 55 wpm.
*Qualifying state employees in the employee Upward Mobility Program may complete combinations ofspecific proficiency tests and training programs leading to a certificate of proficiency in lieu of the state requirements for this classification.
Two (2) years of experience effectively communicating in written and oral formats and coordinating the day-to-day activities that lead to greater efficiencies and effectiveness for an administrator in a public or private organization.
Two (2) years of experience working in a public or private organization in a social or human services field maintaining confidentiality and handling sensitive information with professionalism.
One (1) year of experience meeting deadlines with strong attention to detail while multitasking multiple projects.
One (1) year of experience utilizing the principles of office management.
One (1) year of experience developing and maintaining professional working relationships with staff customers vendors and public and encouraging respect for those of other cultures and backgrounds.
One (1) year of experience utilizing composition grammar spelling and punctuation in the development and review of correspondence reports and materials.
Requires basic proficiency in Microsoft Outlook Access Excel and Word.
Upon employment employee will be subject to Tuberculin (TB) Skin Test.
Requires ability to pass the IDHS background check.
Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
