Job Description

Active is seeking a highly organised and proactiveExecutive Assistantto support our Managing Director in a dynamic fast-paced environment. This full-time role is based in Waterloo NSW and offers the opportunity to work closely with top-level leadership contributing to the smooth operation of our business.

The Opportunity:

As the Executive Assistant to the Managing Director you will play a pivotal role in supporting the smooth and efficient operation of executive functions. Youll be responsible for managing complex calendars and travel arrangements coordinating high-level meetings and events and providing confidential administrative support to the Managing Director and Senior Leadership Team members as required. Your ability to anticipate needs communicate effectively and maintain discretion will be key to thriving in this fast-paced and dynamic environment.

Key Responsibilities:

  • Manage calendars schedules appointments and travel arrangements for the Managing Director and Senior Leadership team members.
  • Communicate on behalf of the Managing Director as required.
  • Prepare and edit correspondence presentations reports and other business documents.
  • Consolidate and distribute all Board reports to Board members.
  • Arrange meetings and take minutes for all Board meetings and sub-committees.
  • Organise record transcribe and distribute meeting minutes with accuracy and confidentiality.
  • Act as a key liaison between executives employees clients and external stakeholders.
  • Monitor and manage incoming communications ensuring timely and professional responses.
  • Organise and coordinate meetings and events including catering and vendor management.
  • Run occasional errands such as visiting the post office or collecting supplies.
  • Manage the company Services Awards Program.
  • Collaborate with internal staff at all levels.

What we need from you:

  • Minimum 5 years experience supporting C-Level executives in a fast-paced environment.
  • An unrestricted drivers license.
  • Experience in a blue-collar or multi-site business is highly regarded.
  • Strong organisational skills with the ability to manage complex calendars and maintain accurate records.
  • Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Excellent written communication grammar and proofreading skills.
  • High attention to detail and ability to prioritise competing demands.
  • Strong interpersonal skills with the confidence to liaise at all levels including executive and board.
  • Discreet and professional in handling confidential information.
  • Proactive forward-thinking and solutions-focused approach.
  • Demonstrated ability to work independently and take initiative.
