MAIN RESPONSIBILITIES:
Greet students and visitors; serve as the first point of contact for the center when working.
Answer phones respond to email inquiries and schedule urgent appointments as well as provide CAPS group support as an admin to help schedule students for individual support as needed.
Access and utilize electronic records and appointment systems in compliance with privacy standards (e.g. HIPAA FERPA)
Assist in the design organization and distribution of outreach and promotional materials (e.g. flyers posters brochures digital graphics) for workshops events and campus campaigns
Support center events and outreach programs as needed
Ensure a welcoming orderly and confidential front office environment
High school diploma or equivalent required; at least an associate degree or coursework in psychology counseling or administrative studies. Graduate work (current or past) in mental health field a plus.
Ability to handle sensitive and confidential information with discretion and consult with management as needed
Commitment to ongoing professional development and emotional resilience in support-based roles.
A demonstrated commitment to equity and inclusion fairness and social justice in all professional tasks particularly in approaches to working with students from a wide array of backgrounds
Previous experience in an administrative or front-desk role
Strong interpersonal and communication skills
Proficiency with Microsoft Office Suite Google Workspace Canva and EHR scheduling software
Strong organizational skills and attention to detail
Preferred:
Experience working in environments that involve supporting individuals in distress particularly in a non-clinical capacity.
Comfort and competence in navigating challenging workplace dynamics with a willingness to engage in regular supervision to reflect on and address such challenges.
Interest in developing skills related to non-clinical mental health support within a structured supportive framework.
Commitment to ongoing professional development and emotional resilience in support-based roles.
Experience in a mental health healthcare or higher education setting
Familiarity with electronic health records (EHR) or counseling center databases
Bilingual or multilingual abilities
Work is performed primarily in an office setting
Morning and Evening hours 1-2 times a week for 1-3 hours during the semester and occasionally for special events
Must be able to remain in a stationary position for extended periods
The Administrative Assistant will receive one hour of weekly consultation and support from their direct supervisor (Dr. Brigette Stump-Vernon) to discuss workplace challenges and their role in providing non-clinical mental health support.
COMPENSATION & BENEFITS:
The range for this position is $26-$28/hour
CCA offers a comprehensive benefits package including the choice of five medical plans generous holiday sick & vacation time a retirement match and tuition remission. CCA considers a full-time work week to be 37.5 hours per week.
Work Mode: On campus
This is a temporary position with an anticipated end date of June 30 2025
Schedule: This is a part-time 20-28 hours/week position.
This position is covered under the staff union collective bargaining agreement and will be required to contribute to union dues/agency fees.
