SUMMARY
The Executive Assistant is a dynamic professional who can be relied upon to support the Presidents day-to-day activities and adapt to change in a fast-paced environment. The ability to be positive and forward-thinking is crucial. Maintaining and managing confidential information will be paramount as well as being customer-facing and professional.

ESSENTIAL FUNCTIONS
  • Serves as a key representative of Flathead Valley Community College and ensures quality and responsiveness as the first point of contact for the President.
  • Works independently and provides excellent customer service for the Colleges constituents.
  • Provides complex and diverse administrative and project management support to the President and Executive Team.
  • Acts as the District Clerk for the Flathead Valley Community College District. Administers the Colleges elections process.
  • Assists President with preparing confidential materials for the Board of Trustees; schedules Board of Trustee meetings prepares agendas takes and distributes minutes; provides support to trustees; and maintains board policies.
  • Initiates and coordinates activities and projects in support of the College mission and student success.
  • Coordinates logistics for meetings and travel; prepares support documentation for appointments and events; arranges catering and technology support as necessary; and numerous duties and tasks in support of the President.
  • Works closely with the President in calendar management. Schedules meetings with internal and external customers.
  • Corresponds and communicates with business partners legislators elected officials and the Montana University System.
  • Conducts research compiles data and reports and prepares documents for consideration and presentation.
  • Serves as an ambassador for the College. Creates and maintains a collaborative and collegial environment and maintains effective working relationships. May serve on internal and external boards and committees.
  • Manages document retention system including paper and electronic filing.
  • Serves as the central contact for internal/external requests for college facilities for meetings activities and special events using FVCC procedures and guidelines; coordinates contracts event timelines room bookings media catering and FVCC personnel.
  • Supports President with annual budget preparation keeps track of budgets and charges.
  • Researches analyzes and resolves issues that arise and addresses them proactively.
  • Leads in the development of a climate that promotes and supports innovation and improved services. Identifies and recommends new and emerging technologies as well as relevant applications of present systems.
  • Fosters cooperative relationships with schools community groups and other external agencies to enhance and promote the College
  • Assists and collaborates with staff on projects or events as needed
  • Remains current in practices trends and research related to areas of assignment
  • Attends related trainings workshops and professional development
  • Actively participates in the development of a climate that promotes and supports innovation and efforts to continuously improve services to students faculty and the College
  • Creates and maintains a collaborative and collegial environment with colleagues and maintains effective working relationships
  • Maintains professional ethics and confidentiality of students in accordance with applicable laws and policies
  • Advances the mission of FVCC by serving on or convening committees and contributing in the community in college-related activities
  • Performs other duties as assigned

MINIMUM QUALIFICATIONS
  • Bachelors degree AND a minimum of five years of relevant work experience OR
  • Associates degree AND a minimum of seven years of relevant work experience OR
  • An equivalent combination of higher education and relevant work experience AND
  • Must hold a valid drivers license and be insurable under the Colleges standard insurance policy terms
PREFERRED QUALIFICATIONS
  • Bachelors degree
  • Experience working in higher education or public administration
  • Experience in project management

  • Ability to intermittently work non-traditional schedules including evenings weekends etc.

  • Ability to maintain a high degree of confidentiality
  • Ability to successfully pass a criminal background check
  • Ability to respond in the event of an emergency
  • This is a Medium-Duty job according to the Selected Characteristics of Occupations Defined in the Revised Dictionary of Occupational Titles U.S. Department of Labor and Industry. Medium Duty involves exertion of 20-50 pounds of force occasionally and/or 10-25 pounds frequently and/or up to 10 pounds continuously to move objects.
