Job Description

Senior Coordinator of Compliance
JOB SUMMARY

The Senior Coordinator of Compliance will focus on tracking student compliance with requirements for initial site placement individual rotations and graduation. This role involves close collaboration with other rotations team members students and other support services.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Operations
  • Lead the training and ongoing support of Regional Coordinators and the Away Coordinator in compliance and onboarding processes ensuring adherence to institutional and regulatory standards. Provide direct assistance in these processes as needed.
  • Oversee tracking and documentation of off-cycle clinical students ensuring timely and accurate updates to academic records.
  • Manage and maintain academic plans for off-cycle clinical students collaborating with relevant departments to ensure alignment with program requirements.
  • Administer the leave of absence process for clinical students monitoring compliance with policies and timelines.
  • Supervise the tracking of SPC/SCC referrals and decisions for clinical students ensuring records are current and accessible.
  • Provide strategic support to the Away Rotations Coordinator overseeing processes related to VSLO Clinician Nexus and other audition sites to ensure operational efficiency.
  • Review and issue eligibility letters upon request ensuring compliance with institutional standards and requirements.
  • Validate student information for board requests confirming accuracy and completeness of submitted data.
  • Assign and monitor completion of virtual modules for second-year students ensuring alignment with curriculum requirements.
Data and Analytics
  • Regularly update and maintain tracking systems including the Regulations and Statistics spreadsheet to prepare for monthly reporting and compliance reviews.
  • Oversee the maintenance of a comprehensive tracking spreadsheet for second- third and fourth-year students health insurance ensuring data accuracy and accessibility.
Campus and Community Engagement
  • Serve as a liaison between the department and other units including the Office of Academic Affairs Registrars Office and the Associate Dean of Academic Success to ensure seamless collaboration and shared goals.
  • Take an active role in COCA self-study and accreditation site visits contributing to preparation documentation and compliance efforts.
  • Engage as an active participant in team meetings and collaborative settings providing insights and fostering a culture of teamwork.
  • Other duties as assigned by the (manager) or their designee.

QUALIFICATIONS AND CREDENTIALS

Education and Experience

Minimum Qualifications
  • High School diploma.
  • Four (4) years of experience as an Administrative Assistant or related role.
  • Advanced software use skills
  • Ability to learn new software programs and stay current with evolving best practices in medical education.
  • Proficient in MS Office (Word Excel PowerPoint Outlook).
  • Advanced organizational and time management skills
  • Able to work in a fast-paced environment without direct supervision.
Preferred Qualifications
  • Bachelors degree.
  • Experience as an Administrative Assistant in a clinical or hospital setting
  • Experience at an accredited university health professions college or medical school.
  • Proficient in software applications applicable to healthcare education.
Required knowledge skills and abilities
  • Demonstrate proficiency in computer skills i.e. Microsoft Office.
  • Display professionalism for the college in all communication and interaction.
  • Ability to maintain confidentiality and privacy.
  • Ability to prioritize and organize numerous and varied assignments.

  • May be exposed to short intermittent and/or prolonged periods of sitting and/or standing in performance of job duties.
  • May be required to accomplish job duties using various types of equipment/supplies to include but not limited to pens pencils calculators computer keyboards telephone etc.
  • May be required to transport oneself to other campus offices conference rooms and on occasion to off-campus sites to attend meetings conferences workshops seminars etc.
  • May require significant travel or work away from campus.
  • Requires attendance at events representing ACHE both within as well as outside of the college setting.
  • Frequently required to work at a desk conference table or in meetings of various configurations.
  • Frequently required to see for purposes of reading matter.
  • Frequently required to hear and understand speech at normal levels.
  • Occasionally required to lift items in a normal office environment.
  • Frequently required to operate office and presentation equipment.
