Do you take pride in staying organized managing details and keeping processes running smoothly Were looking for an Office Specialist 2 to join our Hearings Unit where your work will play a vital role in ensuring hearings for adults in custody (AICs) are handled accurately efficiently and in accordance with established timelines and policies.

About the Job Your Role

In this role youll coordinate and schedule hearings for AICs including administrative misconduct involuntary housing (mental health or segregation) and leave revocation hearings conducted either on site or by phone. Youll prepare and distribute hearing documents enter details information into the Offender Management System (OMS) and ensure case records are accurate and submitted on time. Your work will involve proofreading documents finalizing and routing orders and maintaining both electronic and physical files in compliance with state rules. Youll also handle written communication with AICs respond to hearing-related inquiries from internal and external partners and use sound judgement to manage your workload independently while ensuring all procedures align with Oregon Administrative Rules and agency policies.

This position is represented by American Federation of State County and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS) as defined by statute.

Minimum Qualifications

Two years of general clerical experience that includes keyboarding word processing or other experience generating documents.

OR

An associate degree in any field.

OR

An equivalent combination of education and experience.

Working Conditions

This position is located inside the Coffee Creek Correctional Facility and works in close contact with adults in custody in the institution setting and may be exposed to hostile situations or incidents. You will work daily in an office environment where conversations and paperwork generated are of a sensitive nature and you must possess the ability to keep this information confidential. Work may require climbing stairs contact with AICs or hazards in a general office environment.

The salary range listed above is for non-PERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range to reflect an additional 6.95%.

The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access there may be some felony convictions that could disqualify you for this position.
