Job Description

Job Description: The Assistant Director supervises and manages comprehensive administrative responsibilities for global academic programs including Preview and Global Field Study courses. The purview includes course development budget management communications course registration student support and assessment.

Location: Glenside

Responsibilities:

Global Program Administration (85%):

  • Manage the student application process to provide effective education on short-term programs and equitable access/ability to participate.
  • This includes liaising with staff and faculty in offices across campus that support students in order to meet various student needs.
  • Provide direct student support relating to travel documentation financial aid and academic success in field study courses.
  • Supervise and manage logistics and travel for all faculty-led short-term courses including collaboration with The College of Global Studies and other program providers.
  • Create and manage budgets for all faculty-led short-term courses.
  • Liaise with faculty and staff course leaders in the creation and development of faculty-led short-term courses.
  • Liaise with The College of Global Studies Health & Safety staff to deliver health and safety information to leaders and students prior to travel.
  • Supervise input of participant leader and financial data.
  • Develop review and implement training program for all faculty/staff leaders.
  • Develop review and implement program assessment in collaboration with the Office of Institutional Research and Effectiveness.

Incident and Crisis Response (10%):

  • In collaboration with TCGS and program provider staff manage student life incidents as appropriate.

University Representation and Professional Development (5%):

  • Serve as a representative on campus faculty and administrative committees as appropriate and with Director approval.
  • As funding permits participate in site visits national and regional conferences.

Marginal Functions

  • Participate in recruitment events parent weekends new student orientation admissions events and other on-campus information/recruitment events.
  • Support teammates in Global Engagement at their busiest times of year.
  • Keep an eye out for grant funding that could advance the work of the unit.

Qualifications:

Required Knowledge Skills and Abilities:

  • Manages projects and communication timelines and feedback in a manner that allows all to work efficiently.
  • Excellent problem-solving and analytical skills with proven ability to prioritize and multitask to meet goals and deadlines.
  • Ability to effectively work and communicate with a variety of stakeholders including students parents campus advisors/faculty and program providers.
  • Demonstrated ability to work with different computer operating systems software and social media platforms.
  • Preferred: Experience with CRM systems and Excel.


Minimum Qualifications:

Required:

  • Bachelors degree.
  • 5 years experience working in a professional setting.

Preferred:

  • Masters Degree.
  • Experience studying living or working abroad.
  • Work experience in higher/international education.
