Northwest Career & Technical Center (NCTC) is looking to hire an energetic self-directed individual to join our Tech Center team. This role is considered a confidential administrative assistant position. Job duties will include but are not limited to:Assists administrators by performing projects and clerical duties. Works in a highly visibleoffice dealing frequently with sensitive communications and information. This role is considered aconfidential administrative assistant Duties and Responsibilities:1. Provides administrative assistance to administrators:a. Creates lists and distributes information as appropriate.b. Maintains administrator records and files as directed.c. Exercises independent judgment with respect to real and/or potential problems and brings tothe immediate attention of the administrative staff.d. Attends meetings as assigned.e. Creates reviews and edits reports correspondence and other documents.f. Researches questions and concerns as requested.g. Generates documents spreadsheets tables etc. as directed2. Assumes responsibility for clerical tasks and duties such as but not limited to:a. Composes and types correspondence letters memos agendas and documents.b. Maintains files and other School data; completes reports and enters data into databases.c. Prepares monthly information.d. Tracks required information and prepares designated reports.3. Performs other duties as Northwest Career and Technical Center Responsibilities:1. Assists in the operations of the Adult Career & Technical Education office by working closelywith the Assistant Director and Adult Education Coordinator.a. Communicates with customers.b. Updates the website.c. Works with local funding agencies.d. Supports grant funding activities.e. Contacts customers.2. Works with the Maple Run Unified School Districts (MRUSD) Business Department byperforming entry level bookkeeping activities pertaining to accounts payable and receivablepayroll petty cash financial entries and reconciliations.3. Supports NCTC data entry and analysis needs as it relat4es to center wide information andmetrics i.e. standard assessments and website content.4. Assists with inventory management new staff orientation and event planning.5. Accounts payable and receivable responsibilities including but not limited to:a. Maintains current balances for all program areas.b. Maintains purchase order (PO) files for each program area.c. Processes all NCTC purchase orders.d. Matched monthly statements with purchase orders and invoices then forward to theMRUSD business office for payment.e. Works closely with the MRUSD business office personnel to resolve issues or concernswith NCTC billing or payments.f. Maintains adult education financial records.g. Assists with grant monitoringThis is a full-year position (260 days) and is included in the MRUSD Non-Union Guidelines
