Description

GENERAL DESCRIPTION OF POSITION

The Preschool Administration Coordinator supports the operational and administrative needs of Brightons Preschool program. This position ensures compliance with regulatory agencies coordinates staff scheduling and professional development maintains accurate records and organizes events across both locations. Acting as a key resource for staff and families this role ensures smooth day-to-day operations and supports classroom environments as needed. The coordinator works closely with the Preschool Site Manger to foster a high-quality inclusive and engaging program for all children.

ESSENTIAL FUNCTIONS

This position requires face to face interactions with staff board vendors and the general public on a daily basis to accomplish all essential functions of the position.

Compliance & Administration (50%)

  • Maintain accurate child files including enrollment records immunizations and developmental assessments.
  • Ensure staff files are compliant including certifications training records and signed documentation.
  • Monitor compliance with licensing TRS and NAEYC standards ensuring accurate recordkeeping and timely submissions.
  • Oversee the creation and maintenance of portfolios for accreditation and quality standards.
  • Facilitate safety drills inspections and improvement plans.
  • Generate monthly reports for attendance meals and staff rosters.
  • Liaise with facilities staff to maintain clean safe indoor and outdoor spaces.

Operational Support (30%)

  • Develop and manage weekly and monthly staff schedules in collaboration with the Preschool Director.
  • Open and close preschool centers as needed ensuring readiness and security.
  • Assist the Director of Preschools with enrollment tasks including conducting tours managing inquiries and overseeing the pre-enrollment process.
  • Support the slow enrollment process by scheduling visits coordinating logistics and ensuring all required paperwork is completed accurately.
  • Act as a point of contact for families and the Preschool Inclusion Team fostering strong communication and support.
  • Plan and execute events for both locations fostering family engagement and community involvement.
  • Coordinate and distribute newsletters including center-wide and location-specific editions.

Professional Development (10%)

  • Coordinate and schedule professional development opportunities for staff ensuring alignment with program goals and regulatory requirements.
  • Organize and facilitate staff meetings providing agendas and follow-up documentation.
  • Track participation in professional development and ensure timely completion of training.

Financial Support (10%)

  • Help develop and monitor expenses to ensure they remain within budget.
  • Implement labor management processes including staff schedules and rosters.
  • Maintain accurate financial records including forms and tuition payments.

QUALIFICATIONS

  • Required: Bachelors degree in Early Childhood Education (ECE) or a closely related field or Five years of experience in: Licensed childcare center Special education setting Early childhood program or Family-centered service organization.
  • Required: Two years experience working with individuals with special needs delays and/or vulnerable populations who have chronic or complex conditions.
  • Preferred: Two Four years of professional teaching experience; supervisory experience is preferred.

  • Active Engagement with Children: Be prepared for bending twisting lifting (up to 50 lbs.) moving children and sitting on the floor during activities.
  • Endurance & Flexibility: Stand or sit for extended periods work outdoors in various weather conditions and climb stairs as needed.
  • Time Commitment: Ability to work regular hours and occasional evenings/weekends as required by the program or unforeseen circumstances.
  • Mobility & Transportation: Possess a valid drivers license reliable transportation and personal auto liability insurance for potential work-related needs.
