Associate Vice President for Special Events Projects and Partnerships

Position Summary:

TheCoordinator Special Events Projects and Partnerships supports the operation and continued growth of theSpecial Events Projects and Partnerships team includingvarious events sponsorships special guest and Board of Trustee needsforThe New York Botanical Garden. This administrative and people engagement role engages Garden donors sponsors staff contractors and vendors.Thisrole will blend excellent writing event planning and customer engagement skills.

Specific Duties & Responsibilities:

  • Assist with and occasionally lead key logistical components of small- and large-scale events and programs.
  • Prepare written documents reports letters pitch decks and other materials as required.
  • Conduct researchand draftbiographies of key individualsand organizations.
  • Overseeevent documentadministrationand historical record-keeping includingfiling maintaining records in Raisers Edge trackingreporting schedulesandadheringtoevent planning and special projects timelines.
  • Assist in staffing Garden fundraising events as required.
  • Provide general administrative support for theSpecial Events Projects and Partnershipsteam.

Qualifications:

  • Bachelors Degreerequired.
  • Minimum of three years of experience ineducation non-profit orfundraising preferably with a background inspecial events or board relations.
  • Strong writing editing and proofreading skills.
  • Propriety thoughtfulnessexcellent judgementand discretion in communicating with donors and colleagues at all levels both verbally and in writing.
  • Exceptional time management and organizational skills sharp attention to detail.
  • Ability to balance multiple projects in a fast-paced dynamic environment.
  • Willingness to work occasional evenings/weekends for events and donor visits.
  • Drivers licenserequired.
  • Fluency in Microsoft Word and Excelpreferred.
  • Knowledge of Raisers Edgepreferred.
  • Writing samplesmay be requested during the interview process.

Physical Demands & Work Environment:

While performing the duties of this position the employee is required to at minimum stand; walk; sit; use hands reach with hands and arms; climb stairs; balance; stoop kneel crouch or crawl. The employee must be able to lift and/or move up to 25 pounds. Work outdoors under a variety of weather conditions. Work under low moderate or loud work conditions.

Baseline Work Schedule:

Monday-Friday 9am-5pm with occasional evening or weekend hours depending on events.

Salary: $67000
