PRIMARY PURPOSE:
Maintain employee benefits day-to-day operations in the department by assisting employees maintaining employee database and files and other related administrative functions while maintaining compliance with applicable District policies state and federal laws and regulations. Assist in supervising training and providing backup to the Specialists within the Benefits Department. Provide occasional remote support as needed during scheduled breaks for workers compensation payroll and employee benefit emergencies.
QUALIFICATIONS:
Education/Certification:
Associate Degree- required
Bachelor Degree- preferred
Bilingual (Spanish)- preferred
Special Knowledge/Skills:
Knowledge of administration of employee benefits programs and applicable laws
Ability to work with vendors and co-workers effectively through problem solving while abiding by confidentiality
Ability to interpret and disseminate insurance and benefits information to individuals and groups
Excellent written and oral communication public relations organizational and interpersonal skills
Advanced knowledge of Microsoft Word Excel PowerPoint Publisher and current internet technologies
Ability to multi-task and prioritize work while paying attention to detail
Proficient typing word processing data entry scanning and file maintenance skills
Ability to manage and deescalate difficult situations in a positive manner
Handle multiple projects and activities simultaneously and meet deadlines
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching
Lifting: Occasional lifting and carrying (up to 50 pounds)
Environment: Work with frequent interruptions; maintain professional demeanor under stress; may require occasional prolonged or irregular hours
Regular attendance is an essential function.
Experience:
2 years employee benefits insurance human resources education or other public facing experience- preferred
MAJOR RESPONSIBILITIES AND DUTIES
Employee Benefits Administration
Records Reports and Correspondence
15. Prepare benefit deductions and credit controls for monthly and bi-weekly payroll.
16. Process and submit weekly vendor exception reports.
17. Process and maintain Medical Support Notices.
18. Prepare correspondence and forms.
19. Compile maintain and file all reports records and other documents as required including Workers Compensation records and confidential medical certifications.
20. Maintain confidentiality of information according to HIPAA guidelines.
Other:
21. Assist in other areas of the Benefits Department when needed.
22. Model non-discriminatory practices in all activities.
23. Demonstrate behavior that is professional ethical and responsible.
24. Follow district safety protocols and emergency procedures.
25. Ensure compliance with all local policies and state and federal statutes including the Educator Code of Ethics.
26. Perform such other tasks and accepts such other responsibilities as may be assigned.
