Job Description

About the Role

In this role you will be responsible for:

  • Administrative Support: Managing daily office tasks including filing document control and correspondence.
  • Work Order Management: Logging tracking and processing maintenance requests and work orders through designated systems. 
  • Scheduling & Coordination: Organizing and coordinating maintenance schedules both preventative and corrective ensuring efficient allocation of resources. 
  • Vendor Management: Liaising with contractors and service providers managing contracts and processing invoices. 
  • Record Keeping: Maintaining accurate records of maintenance activities equipment information and relevant documentation. 
  • Budget Management: Assisting with the preparation and monitoring of maintenance budgets processing purchase orders and tracking expenses. Commercial experience highly desirable
  • Compliance: Ensuring compliance with safety regulations company policies and other relevant standards. 
  • Communication: Facilitating communication between maintenance teams vendors and other stakeholders. 

Qualifications :

  • Strong Organizational and Time Management Skills: Ability to prioritize tasks meet deadlines and manage competing demands. 
  • Excellent Communication Skills: Both written and verbal for effective interaction with various parties. 
  • Attention to Detail: Ensuring accuracy in record-keeping scheduling and financial transactions. 
  • Proficiency in relevant software: Experience with maintenance management systems SAP accounting software and standard office applications. 
  • Problem-solving abilities: Proactively identifying and addressing issues related to maintenance activities. 
  • Knowledge of safety regulations: Understanding and applying safety standards within a maintenance context. 
  • Adaptability: Ability to adjust to changing priorities and tasks within a dynamic environment.
