Job Description

George Fox Universitys Plant Services department is in search of a highly skilled motivated and customer-service oriented individual to join their team as their Administrative Assistant.


About the Job:

The Administrative Assistant is an essential part of the Plant Services team providing administrative coordination and support as a primary contact for students faculty staff and administrators and others in the community who come in contact with the department.


Job responsibilities include but are not limited to:

  • Providing office support activities for the Plant Services facility staff.
  • Providing professional communication; both written and oral.
  • Administering distributing preparing and processing petty cash and reimbursements maintaining accurate records and providing assistance as needed.
  • Preparing and distributing work orders.
  • Answering and directing phone calls and coordinating communication of help needed by the campus community with Plant Services via a two way radio or phone.
  • Distributing keys to university staff as needed and managing the office key inventory.
  • Maintaining operational records and overseeing maintenance of office equipment coordinating service and maintaining office inventory.
  • Submitting Plant Services invoices for payment.
  • Calculating and running monthly van reports and other reports as needed.
  • Scheduling university rental fleet vehicles.
  • Coordinating event schedules with other Plant Services departments for communication.
  • Delivering sorting and collecting mail and completing various errands.
  • Overseeing the Plant Services break room supply ordering and maintenance.
  • Working in a positive cooperative manner exhibiting a good attitude and work ethic with co-workers student employees and all others.
  • Problem solving for the office and other associated departments.
  • Actively participating in the Universitys annual Serve Day.
  • Managing the office attending meetings typing minutes and setting up and organizing monthly staff functions in the event of supervisors absence.
  • Communicating effectively and courteously with others including employees students and the public in a spirit of teamwork respect and customer service.
  • By actions words and lifestyle be a Christian role model to students whether through casual contact or in a formal supervisory role.
  • Demonstrated experience working cross culturally with respect appreciation and humility.
  • Other duties as assigned.

A day in the life of this position:

The Administrative Assistant in the Plant Services department will provide essential office support and ensure effective communication to the departments constituents. They will manage petty cash process reimbursements prepare work orders and handle phone calls. On a regular basis they will coordinate campus community requests of the department distribute keys and maintain the office key inventory are key tasks. The Administrative Assistant will oversee office equipment maintenance submit invoices and run monthly reports. Scheduling rental fleet vehicles coordinating event schedules handling mail and managing break room supplies are also part of the daily routine.
