ESSENTIAL DUTIESTrack submit facilitate and report on financial transactions for shops and provide excellent customer service to visitors on the sales floor.Responsibilities will include the following but are not limited to:Finance 75%
- Balance and process daily store receipts create deposits request/submit change orders and run bank-related errands
- Ensure that safes and all store related monies are accurately counted and recorded daily
- Identify discrepancies and make the appropriate corrections
- Keep management abreast of all financial issues and discrepancies
- Balance special assignments and cross-departmental work opportunities while continuing to prioritize shop scheduling and deadlines
- Coordinate with Retail Operations team and vendors to troubleshoot and resolve errors relating to incoming goods and invoices
- Ensure vendor bills are coded and paid accurately within established terms
- Build and maintain spreadsheets in support of job duties
- Coordinate with the Finance Department to monitor monthly revenue and expenses correct inaccuracies and review budget reports monthly to reconcile account process wholesale orders issue invoices and generate monthly wholesale reports as needed
- Generate monthly department transfer reports and process internal sales as needed
- Track and order supplies for SAM Shop operations and shipping facility; maintain supply spreadsheets
- Reconcile SAM Gallery/SAM Shop shared credit card as needed
- Collect and distribute Shop mail
Retail Operations 20%
- Perform select operations of SAM Gallery including but not limited to art sales handling original works of art hanging art filing and database related tasks and communicating with artists and clients
- Assist with sales floor coverage and operations of SAM Gallery in absence of management
- Oversee retail associates and POS functions when management is unavailable
- Assist with training as needed
- Promote good relations with visitors staff and volunteers
- Proactively assist customers in a pleasant and positive manner
Other Duties 5%
- Contribute to an institutional focus of delivering exceptional welcoming and inclusive customer servicecreating positive meaningful experiences for all visitors every time
- Participate in institutional learning opportunities to grow our collective understanding and integration of antiracism cultural competency and equity values into SAMs work
WE ARE LOOKING FORRequired Qualifications- Associates degree or equivalent combination of education and experience
- One year of office retail or administrative experience
- Knowledge of basic accounting principles
- Ability to comprehend numeric detail related to retail functions
- Self-starter able to work as a part of a team and independently

- Demonstrated ability to establish and maintain effective relationships with colleagues vendors and visitors
- Professionalverbal and written communication with an ability to tailor communications according to audience

- Exercise discretion in maintaining confidentiality of sensitive information

Stationary Work: Approximately 50% of time is spent stationary while working at a desk. Balance of time (approximately 50%) is spent moving around the work area.
