Pay Rate: $19.50 per hour
The Esperanza Center provides a welcoming atmosphere social services health services legal support and English as a Second Language (ESL) to immigrants in the Baltimore metropolitan area. The centers staff offers assistance with employment English proficiency legal services and access to primary and urgent health care and referral services. The health services are offered in partnerships with area hospitals and medical schools.
Catholic Charities of Baltimore Esperanza Center Health Services is currently seeking a Health Administrative Assistant- Bilingual (English/Spanish) who will facilitate the efficient operation of the Esperanza Health Services program at Esperanza Center. The position performs a variety of customer service clerical and administrative tasks in support of a free primary care and dental clinic. Provides leadership in patient communication; the successful applicant will be confident in Spanish and English communication both written and verbal. The work schedule is Monday - Thursday 8:30am - 6:30pm 37.5 hours per week.
JOB DUTIES & RESPONSIBILITIES:
- Schedules patient appointments to the clinic verifying qualification requirements are met and takes responsibility for confirming eligibility and accuracy of patient information.
- Creates and updates providers template and patient files in the Electronic Health Record System - Epic ensuring accurate and up-to-date information is maintained for effective patient care.
- Performs check-in and check-out operations of clinic patients confirming accurate documentation and smooth patient flow throughout the visit.
- Manages patient referrals to other Esperanza programs and incoming referrals to the clinic for timely processing and coordination of care.
- Handles request for patient medical records and other PHI according to HIPAA rules around confidentiality and security of patient data.
- Provides patients with information about community resources and other relevant information addressing social determinants of health.
- Provides training and support to administrative volunteers in front desk operations to maintain efficient and positive and respectful patient interactions and workflow.
- Perform other duties as assigned.
EDUCATION REQUIREMENTS:
- High School diploma or GED.
- Four years of experience in an administrative role.
- An equivalent combination of education and experience may be considered.
REQUIRED SKILLS & ABILITIES:
- Required to be bilingual with fluency in both Spanish and English
- Demonstrates excellent verbal and written communication skills ensuring clarity and effectiveness in all interactions.
- Exhibits exceptional relational and customer service skills building strong connections and providing top-tier service.
- Displays excellent organizational skills and meticulous attention to detail ensuring accuracy and efficiency.
- Possesses a foundational understanding of clerical procedures and systems including managing Outlook calendars email and recordkeeping.
- Demonstrates accountability by working independently requiring minimal direction or supervision.
- Acts with discretion tact and professionalism in all situations maintaining confidentiality and integrity.
- Requires proficiency in using computer systems and software to perform job function including but not limited to basic Windows PC web browsing (i.e. Chrome Internet Explorer etc.) and Microsoft Outlook. Knowledge of other Microsoft Office applications such as Word Excel PowerPoint Teams and OneDrive is preferred.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:
- Remaining in a stationary position which may involve standing or sitting for extended periods as required to complete tasks or duties associated with the role.
- Adjusting or moving objects up to 20 pounds in all directions which may include lifting carrying pushing pulling or repositioning items as necessary to perform job duties.
- Engaging in communication with others to exchange information which may involve speaking listening writing or using electronic communication methods to ensure clear and effective understanding. This includes both verbal and non-verbal interactions with colleagues clients or external parties.
