Schedule: M- F; 6:30 AM 2:30 PM some Saturdays on a voluntary basis
Position Summary:
We are seeking a highly organized and proactive Administrative Assistant to support our operations and inventory management functions. This role is critical in ensuring smooth procurement inventory tracking and supplier coordination. The ideal candidate will be reliable detail-oriented self-motivated and capable of working independently with minimal supervision.
Key Responsibilities:
Procurement & Supplier Coordination
Place orders with suppliers and follow up on order status.
Act as a second-level escalation point for supplier and internal issues.
Obtain RMAs from suppliers for damaged or missing items.
Assist in identifying alternate suppliers when primary vendors are unavailable.
Monitor supplier lead times and assess cost impacts.
Inventory & Systems Management
Receive and verify incoming products (quantity quality and stock type).
Enter receipts into inventory system and ensure proper storage of items.
Manage the addition of new parts/items into inventory system including catalog and manufacturer details.
Support inventory reconciliation and adjustments (lost/found items unit conversions etc.).
Perform daily reviews of reorder points and EOQ levels based on historical data.
Input physical inventory counts into inventory system.
Generate and distribute inventory reports.
Administrative & Project Support
Monitor and respond to emails promptly and professionally.
Manage calendars tasks and deadlines on behalf of Tool Crib supervisor.
Effectively manage and own projects bringing them to successful completion.
Compile and send reports to operations stakeholders.
Read and interpret invoices for accuracy and reconciliation.
Other duties as indicated by supervisor.
Required Qualifications:
Min. 2 years proven experience in an administrative or operations support role.
Strong proficiency in Microsoft Excel and Outlook.
Excellent organizational and record-keeping skills.
Ability to work independently manage multiple priorities and meet deadlines.
Strong communication and problem-solving abilities.
Must be willing and able to work in an industrial manufacturing environment.
Must be willing and able to wear personal protective equipment (PPE) as needed.
Preferred Qualifications:
Experience in a manufacturing or industrial environment.
Knowledge of inventory and supplier processes.
Project coordination experience.
Familiarity with inventory management systems (e.g. Maximo) and procurement platforms (e.g. Buy Smart).
