Overview

Marketing & Recruiting Operations Coordinator

Hybrid Position - Jacksonville Florida

Are you a master multitasker with a passion for bringing people and ideas together The Marketing & Recruiting Operations Coordinator is a highly organized and detail-oriented individual responsible for supporting both the Marketing and Talent Acquisition departments. This role ensures the smooth execution of internal and external communications event logistics marketing initiatives recruiting campaigns and administrative support activities. The ideal candidate will bring a proactive mindset strong communication skills and the ability to manage multiple concurrent priorities across departments.

Responsibilities/ Requirements

Marketing & Communications Operations

  • Administer and maintain HubSpot and Sales Navigator platforms.
  • Manage membership and subscription accounts and renewals.
  • Coordinate and execute conference and event planning including:
    • Venue contracts and hotel bookings
    • Event registration attendee tracking and promotional item shipping
    • Budget tracking and payment processing
    • Pre-show and post-show marketing across email social media and digital platforms
    • Ordering managing and recommending promotional inventory and booth properties
  • Support the creation and distribution of internal communications including:
    • Job promotions employee accolades and announcements
  • Draft and distribute external communications including:
    • Email marketing campaigns using HubSpot and Constant Contact
    • Sales flyers seasonal marketing materials and digital content
  • Assist with website maintenance and contribute to ongoing SEO initiatives.
  • Support webinars including scheduling registration payment processing content development promotion and administration.
  • Maintain software systems including business card ordering and nameplate tracking.
  • Assist in survey creation and reporting.
  • Fulfill marketing material shipping needs for the sales and executive teams.
  • Monitor and respond to multiple shared email boxes (e.g. marketing client communications employee recognition).
  • Support presentation and sales document development efforts.

Recruitment & Talent Acquisition Support

  • Assist with job postings across various platforms.
  • Support recruitment marketing initiatives to promote job openings recent hires and company culture.
  • Help with administrative tasks related to new hire onboarding currently managed by recruiters.
  • Generate and distribute recruitment performance reports.
  • Provide iCIMS training support for new hiring managers.
  • Assist with referral and recruitment campaigns including tracking and follow-up.
  • Support Glassdoor branding and reputation management efforts.

Required Skills & Qualifications:

  • 2 years of experience in marketing/ recruitment support
  • Familiarity with marketing and CRM platforms (HubSpot Sales Navigator Constant Contact)
  • Strong organizational and project management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks with competing priorities
  • Proficiency in Microsoft Office Suite and collaboration tools
  • High attention to detail with a commitment to accuracy and quality

The hourly wage range for this role is $27.00 - $32.00 an hour. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range and the range may be modified in the future. An employees pay position within the salary range will be based on several factors including but not limited to relevant education qualifications certifications experience skills geographic location performance and business or organizational needs.
