Job Description

iVisions Software Support Specialist

Location: DAC - Finance Department

12 months 8 hours/day

Exempt Position

Salary Range: $75000 - $85000

Start Date:7/9/2025

PURPOSE:

The job of iVisions Software Support Specialist is to manage the Districts Finance and Human Resources Management System. The position will assist with ancillary financial and human resources software such as but not exclusive to: TalentEd Frontline Absence Management Employee Access and InTouch Bookstore software. The position will troubleshoot software issues and provide instructions and advice to system users. The position will administer security within iVisions.

This job will report to the Director of Budget and Finance

Essential Functions:

Creates iVisions user security roles ensuring correct access for end users while maintaining system data confidentiality.

Administers iVisions security including Purchasing Payables HR and Payroll Assigned Account Codes Warehouse access and available DACs.

Reviews edits and maintains Workflow roles for PARs and Requisitions; adds and removes users as needed.

Maintains Distributed Accountability Centers (DACs) modifying or adding account masks to control access to accounts and reports.

Manages iVisions Security User Defined Forms requests completing required changes or requesting additional information when necessary.

Creates Tyler Support cases for software issues or functionality questions; works with Tyler on resolutions and assists end users in implementing solutions.

Assists in developing and editing daily data checks (pokes) with the Data Accuracy Specialist to support HR and Finance.

Ensures correct data is pulled for various projects.

Manages complex data projects involving pulling data from various systems manipulating data to project specifications and uploading as needed.

Provides technical support for creating training materials for various departments; assists with end-user training and setup including DAC changes connection group changes and Employee Access linking.

Develops or refreshes Provisional Databases for departments; removes outdated Provisionals at the end of each fiscal year.

Responsible for annual Connection Group Roll-Over coordinating with HR Payroll Finance and Purchasing; performs rollover tasks including setting up email notifications updating defaults and making groups read-only when requested.

Responds to system and interfaced application inquiries provides help-desk support resolves issues or escalates as needed; manages the Visions/Bplus help work group.

Investigates and resolves data discrepancies identifies root causes and implements solutions to prevent recurrence.

Develops routine and custom reports; conducts data analysis; prepares graphs and tables.

Merges modifies and edits data files (e.g. Excel Access) for analysis warehousing and reporting.

Imports and exports data between critical databases to support reporting functions; analyzes data using Excel and other software to meet reporting needs.

Works with school personnel to support efficient and accurate data collection procedures.

Maintains and manages internal audit processes for student data accuracy across 50 school sites and programs.

Manages the student attendance portion of the annual audit working directly with external auditors and site personnel.

Other Functions

Performs other related duties as assigned for the purpose of ensuring the efficient and effective function of the software.

Job Requirements: Minimum Qualifications

Skills Knowledge and Abilities

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: applying district state and federal policies and regulations; operating standard office equipment; performing standard bookkeeping/accounting procedures; preparing and maintaining accurate records; and utilizing pertinent software applications.

KNOWLEDGE of iVisions software is required. Excellent troubleshooting and customer service skills. Knowledge of basic SQL preferred but not required. Learning SQL is required if not already known. Ability to perform basic math is required including calculations using fractions percents and/or ratios; read a variety of manuals write documents following prescribed formats and/or present information to others; and understand complex multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: accounting/bookkeeping principles.

ABILITY is required to schedule activities; collate data; and use basic job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with similar types of data; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data may require independent interpretation; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; meeting deadlines and schedules; setting priorities; and working with detailed information.

Responsibility

Responsibilities include: working under direct supervision using standardized routines; providing information and/or advising others; utilization of some resources from other work units may be required to perform the jobs functions. There is a continual opportunity to have some impact on the organizations services.

Work Environment

The usual and customary methods of performing the jobs functions require the following physical demands; some lifting carrying pushing and/or pulling. And significant fine finger dexterity. Generally the job requires 60% sitting 20% walking and 20% standing. This job is performed in a generally clean and healthy environment.

Experience: Three (3) years of prior experience working with data.

Education: High School Diploma or GED. Bachelors degree preferred.
