Job Description

As a Business Assistant in the Office of Business and Financial Services the incumbent is responsible for the accurate and expedient processing of accounts payable invoices within MUNIS. Additional responsibilities include: reconciling troubleshooting and providing a high-level of customer service to both internal and external customers. Also required is the ability to handle several tasks at any given time in collaboration with various departments and schools. The Office of Business and Financial Services is a fast-paced dynamic environment that offers an opportunity for career growth within the organization.

ESSENTIAL FUNCTIONS:

  1. The management of accounts payable email inbox which includes invoices and inquiries and accurately input a high-volume of invoices into Sharepoint for approval.

  1. Accurately schedule a high-volume of accounts payable invoices within MUNIS at a fast pace. Verify correct purchase order number goods receipt and funding as needed.

  1. Import accounts payable batches from various applications such as the Athletic Database in Access and attach documentation to each invoice in MUNS.

  1. Request vendor updates to include adding/changing remits address changes purchase order delivery method

  1. Provide exceptional customer service to both internal and external customers via telephone calls correspondence (email mail fax etc.) or in person to answer inquiries regarding invoices payments checks travel/expense reimbursements or other accounting discrepancies; and follow-through on inquiries to address and resolve issues including tracking payments obtaining data and documentation to clarify issues and issuing checks or stopping payments.

  1. Review and reconcile calculations and balances within invoices reports or systems for completeness accuracy and compliance; identify discrepancies and correct errors.

  1. Copy scan attach supporting accounts payable documents as needed.

  1. Identify and resolve double shipment issues between schools and vendors.
  2. Work directly with AP Administrator on a daily basis in resolving over expenditure payments remit additions to vendor file reopening closed purchase orders and identifying funding sources for over expenditure accounts.

  1. Handle returned checks prepare deposits and coordinate with the Comptrollers and Treasurers Office for stop payments or reissues.

  1. Research vendor numbers purchase order numbers open invoices paid invoices and applied credits in MUNIS as needed.

  1. Delegate work and provide guidance to co-workers in the accounts payable process.

  1. Train as needed the accounts payable system and processes to coworkers or end-users.

  1. Perform other duties as assigned.

QUALIFICATIONS:

  1. EDUCATION: High School Diploma or equivalent required; Bachelors Degree in Business such as Administration Finance or Accounting preferred.

  1. EXPERIENCE: 3 - 5 years of professional experience in complex accounting procurement or similar business setting preferred.

  1. ABILITIES: Must be able to express oneself clearly and concisely orally and in writing using proper grammar. Must be a team player and be able to work well with others. Must possess strong organizational and interpersonal relationship skills. Must possess ability to perform duties and responsibilities with minimal supervision

  1. Technology Equipment SYSTEMS and Tools (where applicable): Requires advanced computer skills in Microsoft Office Suite such as Outlook Word Access PowerPoint and Excel. Expertise with MUNIS strongly preferred.

  1. Working Conditions: Work is mostly performed in an office environment. Regular and punctual attendance is a requirement. Certain situations may require longer hours to complete duties.

  1. Physical Requirements and Potential Hazards: While performing the duties of this job the employee is frequently required to sit; use hands or fingers; handle or feel; talk and hear. The employee is occasionally required to reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
