JOB DESCRIPTION: High School Attendance Specialist
POSITION SUMMARY:
- The High School Attendance Specialist is responsible for ensuring accurate attendance accounting within the school; providing general clerical and reception support to principal/assistant principal(s); providing information and/or direction; resolving attendance-related issues; complying with state and District reporting and documentation requirements; and conveying attendance-related information to appropriate parties.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
The High School Attendance Specialist:
- Communicates to administrators absences and attendance data for the purpose of providing information about unexcused absences tardies truancies students reaching the 10-day absence mark state reporting etc. *
- Assists in the coordination of student locker assignments (e.g. assigns lockers and assists students who have locker problems) for the purpose of ensuring students have lockers and can access them. *
- Ensures accuracy of attendance records (e.g. verification of forgeries truancies etc.) for the purpose of complying with law governing attendance accounting and District policy. *
- Maintains various lists and files related to student absences and attendance (e.g. in-school suspension out-of-school suspension students who leave and enter school during the day pre-arranged absences students on field trips doctors notes etc.) for the purpose of identifying the location of all students in the school and being able to provide other required information and complying with District and school policy. *
- Operates automated student record system (PowerSchool) and other software as needed for the purpose of accurate tracking and documentation of student attendance information setting and changing various parameters on the system entering changes in student information etc. and generating various reports (ten-day absences perfect attendance etc.). *
- Performs all clerical aspects of the attendance function (e.g. records absences identifies absence codes issues passes etc.) for the purpose of ensuring District and state requirements are met and absent students are accounted for by both the school and the parents. *
- Performs other duties as assigned (e.g. communicates information such as bus reminders and detention reminders; monitors people entering the school for security purposes; coordinates office aide work; assists with providing PowerSchool access to students and parents etc.) for the purpose of ensuring the efficient and effective functioning of the school. *
- Prepares written materials (e.g. reports memos letters certificates etc.) for the purpose of documenting activities providing written reference and/or conveying information. *
- Processes pre-arranged absence requests (e.g. determines compliance with guidelines issues paperwork posts to lists determines whether or not to refer to administrator etc.) for the purpose of ensuring compliance with District and school policy. *
- Procures homework assignments from teachers for absent students (e.g. in-school suspension ACES students absent for more than two consecutive days homebound students out-of-school suspension etc.) for the purpose of meeting student needs and school and District requirement. *
- Provides new students with required information (e.g. lockers computer access etc.) for the purpose of ensuring that the new students have the information needed to begin school at LHS. *
- Researches discrepancies of attendance information and problems with attendance (e.g. unexcused absences students missing for only a period etc.) for the purpose of ensuring accuracy adherence to procedures and determination of reasons for students non-attendance.
- Responds to inquiries from staff other education institutions school resource officers parents students and the public (e.g. answering the telephone greeting visitors addressing student issues etc.) for the purpose of providing information and/or direction and communicating with school personnel necessary information.
- Follows the policies and procedures of the school and the District. *
- Demonstrates a sense of professional responsibility such as demonstrating ethical behavior; providing accurate data and reports when needed; meeting deadlines; maintaining confidentiality; caring for the equipment and materials; and dressing appropriately and presenting a good role model. *

SKILLS KNOWLEDGE AND ABILITIES REQUIRED:
- Ability to use effective communication skills; ability to use time effectively; good organizational skills; ability to maintain a positive relationship with other staff by collaborating and working cooperatively with them (including supervisors); ability to operate standard office equipment and software applications; ability to prepare and maintain accurate records; knowledge of business telephone etiquette; and ability to meet deadlines and schedules.
ENTRY QUALIFICATIONS:
Mandatory: Minimum of high school education or GED.
Preferred: 1 years of experience working in a school is preferred.
