PRIMARY PURPOSE:
To assist the Director for Professional Learning & Literacy in planning managing and facilitating professional development for the McAllen Independent School District; assist in helping support major district goals by the coordination and collaboration of district professional development. Assist with grant programs that the Grants office manages. (with preparation of forms reports etc.).
QUALIFICATIONS:
Education/Certification:
High School Diploma or equivalent required
Special Knowledge/Skills:
Utilize personal computer and software; communicate effectively (verbal and written); utilize effective interpersonal skills
Experience:
Three (3) years clerical/secretarial experience preferred
Workdays: 226
Clerical/Technical Pay Structure: Pay Grade 5
Pay Date: Monthly
Hourly Pay Range:
Minimum: $19.00
Midpoint: $22.76
Maximum: $26.52
Note:Starting pay for a new hire in a pay range plan will be determined individually based on each persons job-related experience and salaries paid to peer employees in the same position with similar experience.
MAJOR RESPONSIBILITIES AND DUTIES/ESSENTIAL FUNCTIONS:
1. Perform general office routines such as typing forms handling correspondence and meeting notices maintaining files processing mail and faxes and duplicating materials.
2. Complete extensive word processing assignments with various computer programs in a timely manner with minimum errors.
3. Receive and route telephone calls and messages.
4. Assist with the preparation and development of the budget and perform bookkeeping tasks associated with the maintenance of the budget(s).
5. Responsible for all bookkeeping duties for the Department such as requesting and processing purchase orders for supplies and equipment.
6. Keep inventories for the department(s) and assist with storage of materials.
7. Responsible for the daily maintenance of the Professional Development (PDS) System through Region One.
8. Make preparations for Directors travel for out of district conferences workshops and professional development sessions by arranging for travel lodging meals and registration. Process paperwork on travel to ensure prompt reimbursement to Director.
9. Attend meetings with professional staff members as requested.
10. Responsible for the preparation of professional development sessions and other meetings by obtaining and setting up meeting locations preparing agendas and sign-in sheets contacting catering services duplicating handouts sending meeting reminders and completing end-of-session reports.
11. Prepare contracts and all paper work involved with obtaining consultants including travel arrangements lodging and supplies for workshops.
12. Assist with the preparation of paperwork for substitutes for teachers attending workshops and professional development sessions in district and out as needed.
13. Provide assistance to District Employees with the Professional Development System as needed.
14. Produce the Professional Developer that lists training provided by the district.
15. Responsible for ensuring that all equipment (projectors screens sound etc. are in working order at all times and coordinate repairs as needed.
16. Responsible for ensuring that all equipment is turned on and in running order before a workshop begins. Assist presenters with computer needs and technical support.
17. Keep record of all trainings that occur within the district and out-of-district by campus and by name of each employee.
18. Assist with the planning and various aspects of the annual General Assembly New Teacher Orientation and beginning of the year activities and paperwork related to.
19. Assist with various other instructional services department projects and other departments when needed.
20. Assist with the District calendar voting tallying coordinating of calendar committee meetings preparation of the agenda item to the Board drafts and final calendar coordinating printing and distribution of the calendar etc.
21. Assist with grant programs that the Grants office manages. (with preparation of forms reports etc.).
22. Assist with the development and maintenance of a tracking grant reporting and schedule.
23. Assist with the preparation and processing of periodic and final expenditure reports.
24. Assist with the preparation of audit & compliance reports.
25. Follow McAllen ISD customer service standards.
26. Perform other duties assigned by immediate supervisor (primary evaluator).
