Job Description

GENERAL RESPONSIBILITIES

The High School Registrar has the responsibility of supporting the high school counseling program through the correct and accurate handling of student records and transcripts as well as informing students and parents about records requirements enrollment requirements and withdrawal procedures and requirements based on local state and federal statutes and guidelines. Major responsibilities include organization of student records and addressing requests for transcripts and records for a variety of federal state and local agency and parental requests.

ESSENTIAL TASKS

The following duties are normal for this position. The omission of specific statements of duties does not exclude other duties if the work is similar related or a logical assignment for this position. While this is intended to be an accurate reflection of the current job management reserves the right to revise the job description. Other duties may be required and assigned.

  • Coordinates the required documentation for registration of new students.
  • Creates student record folders for new students.
  • Coordinates the required documentation for student withdrawals.
  • Maintains a log of all student record transmissions.
  • Processes transcript requests assuring the accuracy of transcript contents recording transcript requests are sent imprinting the school seal and recording disclosure of transcripts in the student record.
  • Submits mid-year and final grades to institutions that have received transcripts.
  • Maintains the schools scholarship listing log of all scholarship applications received and distributed to students.
  • Works with the Guidance Coordinator to confirm graduation lists and to proof printed diplomas.
  • Collaborates with the Guidance Director to gather and assemble student data as necessary.
  • Obtains appropriate authorizations to work with the divisions student data management system.
  • Completes student information requests from Social Security Social Services Rehabilitation and Housing Authority agencies as appropriate.
  • Prepares student drop records for filing and transfer to central storage on an ongoing basis.
  • Compiles a listing of juniors and seniors for the Armed Forces annual request.
  • Assists counselors with distributing and collecting completed Senior Exit Surveys and compiles survey data.
  • Maintains copies of forms and documents required by the Guidance Coordinator for the Departments operation.
  • Performs other duties as assigned.

KNOWLEDGE SKILLS AND ABILITIES

Possesses a well-developed attention to detail and documented expertise with a variety of computer software programs. Experience managing extensive numbers of confidential records is preferred. The Registrar must be able to multi-task in a busy work environment while being responsive to the needs of students parents faculty school counselors and administrators. Ability to establish and maintain effective working relationships with others.

EDUCATION AND EXPERIENCE

At least three years experience as an officer manager for a high school counseling office or an Associates Degree in Office Management or Business Management with institutional experience preferred.

PHYSICAL REQUIREMENTS

Typically working at a desk or table intermittently sitting standing and stooping. This position requires the ability to communicate (oral and written) coordinate instruct compute and to evaluate on a consistent and on-going basis. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential tasks.

WORK ENVIRONMENT

Environmental conditions are typical of an inside office (clean temperature controlled low hazard low noise level).
