JOB TITLE:Coordinator-Data

REPORTS TO: Assistant Superintendent for Non-Instructional Data Quality

WAGE:Exempt


Pay Grade:AM 2

PRIMARY PURPOSE:

The Data Coordinator will support district and campus personnel while ensuring accuracy and reasonableness of student data and coordinate data collection of district Public Education Information Management System (PEIMS) data and Core Collections. Train and advise campus staff on data accuracy and reasonableness district policies and procedures and the collection/reporting of district Public Education Information Management System (PEIMS) data and Core Collections. Oversee the district data to ensure compliance with local State and federal mandates.

QUALIFICATIONS:

Required:

  • Bachelors degree from an accredited college or university
  • Two years related experience in school-based data

Preferred:

  • Experience in school district administrative support that required implementing processes monitoring of data collecting and training of student and staff

SPECIAL KNOWLEDGE/SKILLS:

  • Ability to maintain accurate and auditable records
  • Ability to use personal computer and software to develop spreadsheets databases and conduct word processing tasks
  • Ability to work effectively with stakeholders of various levels
  • Proficient keyboarding and file maintenance skills
  • Strong organizational communication and interpersonal skills
  • Ability to develop and deliver training to all district end-users
  • Ability to effectively communicate/present to a large audience; meet established deadlines
  • Knowledge of grades enrollment registration and PEIMS-related data

MAJOR RESPONSIBILITIES AND DUTIES:

PEIMS Reporting:

  • Ensure electronic storage of State-required documents.
  • Be affluent in the integration and formatting of PEIMS-related submissions per the TSDS the SAAH the TWEDS and the CRDC (Civil Rights Data Collection).
  • Comply with policies established by federal state and local board
  • Work cooperatively with others to establish deadlines; collect organize and format data in order to comply with federal and state
  • Support PEIMS team with completion of local state and federal (Civil Rights Data Collection) PEIMS-related submissions.

Campus Level Data Support:

  • Collaborate with the other Data Coordinator to ensure campus/district data syncopation.
  • Ensure student data is entered correctly across the district based on PEIMS data verification and properly submitted based on state reporting submissions/collections as required by the district Region IV or district in the Texas Education Agency (TEA)-prescribed
  • Verify data to ensure accuracy and reasonableness of PEIMS-related information.
  • Provide district-level support on enrollment/withdrawals attendance grades discipline and other PEIMS-based data entry.
  • Support campus data entry personnel.

District Level Data Support:

  • Respond to requests from district and campus level personnel for various reports of student data.
  • Partner with various departments including but not limited to: Guidance and Counseling CTE SPED Multilingual LEP PK Calendar Team Research and Accountability and Business and Finance to determine data accuracy and reasonableness funding and accountability.
  • Ensure district level staff are responsible for PEIMS-relate data required for each state submission according to PEIMS/TSDS TWEDS CRDC and the Student Attendance Accounting Handbook including six weeks attendance reports.
  • Verify data to ensure accuracy and reasonableness of all PEIMS-reported information.
  • Collaborate with campuses who have JJAEP-enrolled students acting as the district liaison for enrollment/withdrawals attendance grades discipline and data entry.

Training and Professional Development:

  • Provide training and support to district level staff and campuses responsible for the collection integration and formatting of all data (including but not limited to) requirements for PEIMS submission according to TSDS the SAAH TWEDS and CRDC (Civil Rights Data Collection).
  • Attend role-based professional development and training to support the PEIMS-DMC Team campus and district personnel
  • Coordinate the preparation of all PEIMS-based manuals training materials and forms/documents.

Additional Responsibilities and Duties:

  • Stay abreast of PEIMS-related data submissions and data validation changes
  • Learn and provide information needed for district-level training on PEIMS TSDS reports
  • Provide district-level training on special populations
  • Special Population SAAH section breakout training sessions
  • Participate in campus visits to support PEIMS related data entry understanding and verification
  • Collaborate with Senior Leadership (as needed) to provide campus-level data training
  • Participate in decision-making related to processes and procedures that directly impact PEIMS-related data collection

WORKING CONDITIONS:

The usual and customary methods of performing the jobs functions require the following physical demands: physical mobility standing prolonged sitting some lifting carrying pushing and/or pulling. Repetitive motions and prolonged use of computer. This position will also require both in district and statewide travel. Mental demands: Ability to solve problems and deal with a variety of situations; ability to interpret a variety of data; ability to interpret policy; ability to apply knowledge of current research and theory ability to be effective in both oral and written communication; ability to maintain emotional control under stress. The ability to work with frequent interruptions and independently. Irregular hours as necessary during peak times.
