Job Description

Ashland Public Schools is seeking a dynamic flexible full-time assistant to support the Office of Student Services beginning July 1 2025. The ideal candidate will have experience working in some capacity with special education experience working in an office setting and strength in the ability to multitask. The candidate will be responsible for daily communication timeline management and the ability to remain independently engaged with daily priorities.

Qualifications:

An Associates or Bachelors Degree is preferred

Prior experience as an administrative assistant and working in a school setting is preferred Must have organizational systems and be detail-oriented

Knowledge of computer usage and modern office practices

Ability to communicate clearly and concisely in verbal and written form

Effectively carry out oral and written directions

The capability to plan create and complete original work with little guidance or supervision

Requirements:

Strong organizational and time management skills: To efficiently manage multiple tasks and deadlines.

Good communication skills: To effectively interact with students staff and parents.

Proficiency in Google Suite IEP management systems other relevant student data software: To create and manage documents spreadsheets and student files.

Understanding of special education policies and procedures: To assist with IEP mandated timelines and regulations special education indicators and other related tasks.

Responsibilities:

The ability to run and manage student software systems to support compliance and special education regulations.

Maintains the work flow for the Director of Student Services and the Special Education Coordinators in the office.

Understanding of special education indicators and required data entry timelines to support state mandates.

The ability to manage yearly parent notification requirements such as the distribution of the procedural safeguards for all families who have students with disabilities.

Compliance monitoring for all special education indicators.

Management of sharing out IEP documents as they relate to initial referral requests annual and reevaluation meetings progress reporting all other documentation related to special education timelines.

The ability to navigate student information systems.

The ability to remain organized and prioritize daily responsibilities without direct supervision.

Responding to and communicating with parents families and staff daily in a time efficient and responsible manner.

Screens incoming mail/email communication routes to appropriate staff assembles and attaches appropriate correspondence for replies (when necessary).

Supports the planning and implementation of staff and parent informational events including regularly scheduled ASHPAC meetings.

Responsible for assisting in all training aspects of special education software program to existing and new staff and keeping staff members current on new implemented changes to such software.

In the absence of the Director responds to inquiries from all levels and exchanges information.

Other duties as assigned by the Director of Student Services.

EVALUATION/BENEFITS: Evaluated by the Director of Student Services; Full-year contract salaried position. Paid holidays sick days vacation days and benefits are available.
