Job Description

ESSENTIAL DUTIES

Oversee all facility physical plant maintenance operations engineering landscaping office and environmental services across all sites. Oversee the Facilities Engineering and Facilities Operations teams provide leadership and mentoring to five direct reports: Chief Engineer Facilities Operations Manager Facilities Project Manager Facilities Coordinator and Senior Manager OSP Landscape and Facilities.

Responsibilities will include the following but are not limited to:

Management & Budget 45%

  • Oversee strategic and operational planning for the administration of museum facility services
  • Assure departmental structure organization staffing and systems are strategically and efficiently structured and staffed to best serve museum needs visitor needs safety and meet operational financial guidelines
  • Ensure procedures are documented effective communicated and implemented consistently throughout the organization
  • Devise annual operating compensation and capital project budgets monitor and track performance and adjust as needed
  • Lead long term strategic planning for the department
  • Direct and oversee capital projects and ensure their completion according to plans specifications schedules budgets and contract terms
  • Develop foster and oversee positive vendor relationships for ongoing contracted services and project specific needs
  • Coordinate with state local and federal agencies governing the operation licensing and permitting of all sites
  • Ensure compliance with State and local building codes
  • Develop service and operations standards with a focus on consistent superior performance and financial accountability
  • Facilitate and oversee vendor and contractor RFP and selection process partnering with legal for the execution of contracts
  • In partnership with Institutional Giving partners identify and pursue grant opportunities for capital projects
  • Lead department in making effective business decisions to achieve target goals tailor messaging and maximize efficacy
  • Oversee departmental projects (long and short-term) to advance initiatives minimize disruption and communicate effectively across the institution
  • Proactively seek opportunities for facilities to improve environmental impacts that meet or exceed regulations on a viable timeline
  • Mentor direct reports to develop leadership management and technical skills appropriate to their responsibilities and professional growth

Safety & Emergency Planning 15%

  • Acting Safety Officer ensuring compliance with all requisite regulations concerning employee and public health and safety including appropriate hazardous materials safety measures and staff training programs
  • Overseeing the Accident Prevention Program and Safety Committee
  • In conjunction with the Chief Operating Officer Chief Marketing Officer Visitor Experience HR and Security implement inclement weather and emergency closure protocols
  • Assure emergency response protocols and relevant documentation are current all staff is appropriately trained and required communications systems are in place

Engineering 25%

  • In collaboration with the Chief Engineer review the short and long-term engineering plans and programs for design construction maintenance or alteration of facilities
  • Ensure long-term viability and operation of all facilities
  • Proactively propose capital projects on a minimum 5-year horizon to ensure viability of systems and proactive maintenance and replacement
  • With the Chief Engineer plan and direct engineering activities for all three sites including regulation of temperature and humidity to protect the collection and ensure proper access protocols are in place
  • With the Chief Engineer ensure appropriate monitoring and preventative maintenance of all equipment adhering to building compliance and requirements for all sites including fire protection/suppression systems building automation systems chillers etc.
  • Collaborate with internal and external stakeholders towards the successful completion of projects and delivery of day-to-day needs

Facilities Operations 10%

  • Ensure facilities at all sites are clean operable and comfortable for staff and visitors
  • Plan for long-term office space needs proposing updates and alterations as needed to achieve organization wide goals
  • Determine priorities for maintenance and service activities and perform site inspections
  • Implement and monitor policies and procedures
  • Oversee all aspects of the ongoing service departments of the organizations facilities grounds FF & E environmental and office services and fleet vehicles
  • Oversee facilities event support teams develop policy and ensure safety standards are met

Other Duties 5%

  • Contribute to an institutional focus of delivering exceptional welcoming and inclusive customer servicecreating positive meaningful experiences for all visitors every time
  • Participate in institutional learning opportunities to grow our collective understanding and integration of antiracism cultural competency and equity values into SAMs work



WE ARE LOOKING FOR
Required Qualifications
  • BA/BS or equivalent combination of education and experience
  • Eight years of facility management and operations management experience including five years in a people management capacity
  • Extensive professional experience in the oversight of the facilities maintenance and engineering functions in a large institution (museum educational or cultural institution hospital hospitality nonprofit or customer service focused organization)
  • Strong project management skills related to complex facilities operations engineering and construction projects
  • Experience in managing planning and decision-making processes
  • Excellent planning financial management and organizational skills
  • Demonstrated ability to establish and maintain effective relationships with executives management employees and the public
  • Strong track record in exercising sound timely judgment
  • Proactive strategic and professionalverbal and written communication with an ability to tailor communications according to audience
  • Strong management and supervisory skills; ability to motivate teams and simultaneously manage several projects
  • Successfully assess priorities and work well with deadlines exceptional time management problem solving and analytical skills
  • Highly organized and adept at self-initiation and working with autonomy
  • Exercise discretion in maintaining confidentiality of sensitive information
  • Proficiency in Microsoft Office Suite Zoom Asana Slack and internet-based research
  • Ability to pass and maintain security background check clearance
Preferred Qualifications
  • Facilities Management Professional (FMP) or Certified Facility Manager (CFM)
  • Ten years experience as a senior facilities director or manager
  • Proficiency with computerized maintenance management systems and building automation systems
  • Experience in a museum setting

WORK SCHEDULE

This role is typically scheduled to work business hours Monday - Friday. However the needs of this role require a willingness to work a flexible schedule in support of the department or organization as self-directed or directed by your supervisor. COMPENSATION: $162950 - $171500

WORK CONDITIONS

Exposure: Work areas are primarily inside in a climate-controlled environment with moderate background noise. Workspaces may include outdoor areas.

Stationary Work: Approximately 75% of time is spent stationary while working at a desk. Balance of time (approximately 25%) is spent moving around the work area. Occasional extended periods of standing may be required when assisting at Museum events.

Communication: Clear and effective verbal and written communication in English with trustees the public and co-workers is necessary.

Vision: Ability to effectively use a computer screen and interpret printed materials memos and other appropriate paperwork.

Office Work: Ability to effectively and regularly operate a computer keyboard telephone and other office productivity machinery such as copy machines and printers and ability to inspect prepare and use paperwork files equipment and supplies is necessary.

Lifting/Carrying/Pushing/Pulling: Ability to transport up to twenty-five (25) pounds of equipment and supplies.
