POSITION SUMMARY

The Executive Assistant (EA) supports CHEOs Executive team specifically the Senior Vice-President of Clinical Services and Chief Nursing Executive (SVP/CNE) in executing CHEOs mission and strategic plan. This position plays a critical role in enabling the Office of the SVP/CNE to function efficiently and effectively. Executives deal with complex and sensitive issues and the EA works with a proactive mindset prioritizes items and ensures timely response. The EA is discreet and demonstrates advanced judgment and initiative. They also demonstrate advanced administrative skills including record keeping editing drafting and appropriate and timely dissemination of materials. Specifically advanced skills in preparing aesthetically appealing presentations and editing reports and proposals.

One of the critical aspects of this role is that the Executive Assistant serves as a key representative of the SVP/CNE to external partners patients and families and internal colleagues. In this capacity they help shape first impressions and manage interactions on behalf of the SVP/CNE.

Additionally the Executive Assistant often assumes a supportive role discerning which matters require the SVP/CNEs direct involvement and which can be delegated or redirected.

The incumbent is responsible for planning and carrying out administrative activities including preparing correspondence memos emails minutes and reports frequently of a confidential strategic and/or specialized nature and must be able to prioritize and multitask a variety of activities. The incumbent provides administrative support to a number of committees and is responsible for managing the calendar of the SVP/CNE including coordinating/scheduling meetings with both internal and external partners.

The incumbent provides a range of senior-level support and oversees the daily workflow to and from the executive office. Using strong business acumen and exceptional customer service risk mitigation and problem-solving skills the incumbent prioritizes coordinates and communicates information on behalf of the SVP/CNEs Office.

MAIN RESPONSIBILITIES

Characteristic responsibilities include:

  • Assess and prioritize the nature and sensitivity of verbal and written requests; take appropriate action or redirect as needed.
  • Analyze incoming inquiries gather background information and refer to appropriate staff or executives; follow up to ensure resolution.
  • Maintain awareness of all activities under the SVP/CNEs responsibility to enable timely response to inquiries initiatives and directives.
  • Manage incoming and outgoing communications internal approvals and follow-ups to ensure timely action and accountability.
  • Monitor the progress of projects and action items; proactively initiate partners follow-up as required.
  • Establish and maintain office systems such as databases tracking systems filing systems bring-forward systems monthly reports and confidential records.
  • Make travel and accommodation arrangements; prepare review and process related documentation and claims.
  • Coordinate meetings and appointments: book rooms confirm attendance arrange catering and prepare required documentation.
  • Maintain the SVP/CNEs calendar ensuring it reflects priorities and upcoming commitments; coordinate scheduling as needed.
  • Review and proofread correspondence reports and meeting materials for format grammar accuracy and completeness.
  • Research analyze and summarize information for use in reports correspondence and presentations.
  • Draft and format a variety of materials including reports agendas presentations spreadsheets and correspondence; take accurate meeting minutes and finalize for distribution.
  • Serve as a key liaison and representative of the SVP/CNEs Office to internal and external partners including patients and families demonstrating professionalism and discretion.
  • Handle and triage calls inquiries complaints and sensitive issues with tact and diplomacy.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • 2-3 year College Diploma in Office Administration or other relevant area of study. (Essential) experience and formal training combined with demonstrated performance and ability may substitute for stipulated education requirements.
  • Minimum 6 years of progressively responsible office administration experience including at least 1 year supporting senior management. (Essential)

  • Tech-Savvy: Proficient in modern workplace software and digital tools including Microsoft 365 (Outlook Word Excel PowerPoint Teams) video conferencing platforms and cloud-based collaboration systems. (Essential)

Effective March 29 2021 CHEO will conduct a more comprehensive pre-screening and evaluation process. This process may include more varied and multidimensional testing such as a written test practical exam or other assessment. Ladjoint.e de direction (AD) aide lquipe de gestion du CHEO en particulier le ou la vice-prsident.e principal.e des services cliniques et des soins infirmiers excuter la mission et le plan stratgique du CHEO. Ce poste joue un rle essentiel pour le fonctionnement efficace du bureau du ou de la vice-prsident.e principal.e des services cliniques et des soins infirmiers. Les membres de lquipe de gestion traitent de questions complexes et dlicates et lAD adopte une approche proactive tablit lordre de priorit des tches et veille ce que des rponses soient fournies en temps opportun. LAD fait preuve de discrtion dun grand sens du jugement et dun esprit dinitiative dvelopp. La personne titulaire de ce poste possde aussi des comptences administratives avances notamment en tenue de dossiers en rvision et en rdaction et assure une diffusion approprie et en temps opportun des documents. Elle possde plus prcisment des comptences avances en prparation de prsentations attrayantes sur le plan visuel et en rvision de rapports et de propositions.

Lun des aspects essentiels de ce rle est que lAD agit titre de reprsentant.e cl du ou de la vice-prsident.e principal.e des services cliniques et des soins infirmiers auprs des partenaires externes des patient.e.s et des familles ainsi que des collgues internes. ce titre le ou la titulaire du poste contribue faonner les premires impressions et gre les interactions au nom du ou de la vice-prsident.e principal.e des services cliniques et des soins infirmiers.

De plus lAD joue souvent un rle de soutien en dterminant les questions qui ncessitent la participation directe du ou de la vice-prsident.e principal.e des services cliniques et des soins infirmiers et celles qui peuvent tre dlgues ou rediriges.

La personne titulaire de ce poste est responsable de la planification et de lexcution dactivits administratives y compris la prparation de correspondance de notes de service de courriels de procs-verbaux et de rapports souvent de nature confidentielle stratgique ou spcialise et doit tre en mesure de grer les priorits et de mener plusieurs tches de front. Elle fournit un soutien administratif un certain nombre de comits et est responsable de la gestion du calendrier du ou de la vice-prsident.e principal.e des services cliniques et des soins infirmiers y compris de la coordination et de la planification des runions avec les partenaires internes et externes.

Elle offre un soutien de haut niveau et supervise le flux de travail quotidien li au bureau de lquipe de gestion. Faisant preuve dun sens aigu des affaires et de comptences exceptionnelles en service la clientle en attnuation des risques et en rsolution de problmes la personne en poste tablit les priorits assure la coordination et communique linformation au nom du bureau du ou de la vice-prsident.e principal.e des services cliniques et des soins infirmiers.
