JOB TITLE:
Registrar

REPORTS TO: Campus Principal Dual Report toDirector of Data Management and Compliance

WAGE/HOUR STATUS: Exempt

PAY GRADE:AI 1

PRIMARY PURPOSE:


The Registrar will prepare monitor and maintain student data accuracy regarding records student registration and proper coding to ensure compliance with State and District laws and policies.

QUALIFICATIONS:

Required:

  • Bachelors Degree from an accredited college or university

Preferred:

  • Three years of secondary school setting experience

Special Knowledge/Skills:

  • Computer proficiency and ability to run create and disseminate reports from SIS
  • Effective communication interpersonal and data entry skills
  • Effective file maintenance skills
  • Knowledge of state and federal accountability standards for secondary schools
  • Knowledge of Student Attendance Accounting Handbook and PEIMS Data Standards
  • Proficiency in use of computer software with emphasis on Microsoft Excel
  • Strong organizational and people skills

MAJOR RESPONSIBILITIES AND DUTIES:

  • Implement and monitor office protocol for data efficiency and confidentiality in a secure environment
  • Maintain and enforce confidentiality of information
  • Remain updated on local state and federal policies regarding enrollment andsecondary student state and federal accountability standards
  • Assist SIMS with all PEIMS related enrollment/withdrawal data
  • Monitor Asst. Registrars and assist them as needed with enrollment withdrawal and leaver data plus physical and computerized files
  • Oversee the Asst. Registrar request records from other schools/district on incoming students.
  • Meet monthly with SIMS Asst. Registrars Attendance personnel and members of the non-instructional data quality team providing updates on newly enrolled students and withdrawn students
  • Must attend staff development and faculty meetings as assigned and attend
  • registrar sessions facilitated Management and Compliance Department
  • Enter/Maintain Academic History for all students
  • Oversee and ensure the completion of all transcript requests within state mandated time
  • Prepare and maintain records required by federal state and local laws/regulations
  • Monitor the receipt of maintaining and deliver cumulative folders to/from feeder pattern schools
  • Report data needed for weekly Non-Instructional Data Quality and Compliance Team meetings.
  • Maintain/validate student records including Academic Achievement Records (AAR) for students taking High School courses and cumulative folders
  • Evaluate routine transcripts for all students to determine appropriate and equivalent awarding of credits and grade placement.
  • Distribute final transcripts to colleges immediately after graduation and compile graduation information from state reports.
  • Process Compile maintain and distribute accurate senior ranks and GPAs
  • Follow district retention promotion and reclassification policies and procedures
  • Provide official transcripts and educational documents to NCAA eligibility requirements
  • Process and submit UIL Academic guidelines and forms
  • Enter/maintain all students graduation programs (minimums Recommended and Distinguished Achievement) as provided by campus Academic Counselors
  • Collaborate with campus Counselor regarding non-routine out of state out-of-country private school and/or home school transcripts situations
  • Coordinate with Academic Completion Specialists to evaluate and support the drop out recovery intervention process
  • Perform all other duties as assigned

WORKING CONDITIONS:

The usual and customary methods of performing the jobs functions require the following physical demands: physical mobility frequent standing stooping bending some lifting carrying pushing and/or pulling. Mental demands: Ability to solve problems and deal with a variety of situations; ability to interpret a variety of data; ability to interpret TEC and policy; ability to apply knowledge of current research and theory ability to be effective in both oral and written communication; ability to maintain emotional control under stress.
