Job Description

Reports To: Executive Director of Fine Arts

Duty Days: 238 Days

Wage/Hour Status: Non-Exempt

Pay Grade: AS03

Date Created: 05/2025

Qualifications:

High school diploma or GED

Extensive data base knowledge and management

Excellent organization communication and interpersonal skills

Extensive Experience with MS Office

Ability to follow procedures with minimal supervision

Work with confidential material

Primary Purpose:

Provide secretarial support and programs management assistance for two Assistant Directors and back up assistance for the Executive Director as needed.

Major Duties and Responsibilities:

Private Lessons Secretary

  1. Track and input weekly attendance for PLP students throughout the district (approximately 2000)
  2. Prepare monthly PLP instructor invoices input payments and collect past-due accounts
  3. Prepare deposits
  4. Process PLP instructor applications
  5. Track PLP expenditures and prepare monthly financial statements
  6. Update/rewrite PLP guidelines for parent instructor and director as needed

Secretary to the Assistant Director(s) of Fine Arts

  1. Maintain appointment calendar for the Assistant Director of Fine Arts
  2. Make travel arrangements for the Assistant Director of Fine Arts
  3. Facilitate all district Visual Arts and Elementary Music events
  4. Type correspondence reports agendas memos etc.
  5. Daily telephone communication
  6. Assist with processing and distributing of mail
  7. Coordinate communications with department personnel
  8. Make and distribute copies
  9. Update record and distribute daily and monthly reports

Music & Dance/Theatre/Cheer Events Coordinator

  1. Notification of Event deadlines and criteria to music dance cheer & theatre teachers
  2. District wide events planning and implementation
  3. Fine Arts Summer Camp organization and support
  4. District wide Elementary Choral Workshop planning and implementation
  5. Perform other tasks and duties as assigned by supervisor

Equipment Used:

Computer printer copier

Working Conditions:

Maintain emotional control under stress. Work with frequent interruptions. Prolonged use of computer and repetitive hand motions. Occasional prolonged and irregular hours. Frequent lifting carrying standing stooping bending kneeling pushing and pulling.
