To provide administrative and operational support across office and project logistics travel coordination transport management and document control functions. The role ensures effective execution of office and project support processes in compliance with internal governance and vendor agreements.
- Manage daily operations including schedule utilisation and cost efficiency of office and project vehicles by coordinating with project teams and vendors to ensure smooth operations aligned with Turner & Townsends policies.
- Manage end-to-end domestic and international travel arrangements for Indonesia team including flights accommodation and local transport. Ensuring policy compliance cost-effectiveness and accurate maintenance of travel records and reports.
- Support office operations by organizing internal events managing vendor relationships renewing service contracts and assisting in updating compliance documents and registers.
- Maintain organized and compliant documentation systems for invoices payments vendor contracts and other operational files ensuring adherence to company standards.
- Provide operational and administrative assistance for new project setups especially those outside Jakarta and support finance and risk-related documentation including timely contract/invoice submissions.
- Ad-hoc support in establishing day-to-day operation and administrative (accommodation transport and other logistical support) for a new project located outside Jakarta.
- Ad-hoc support related to finance and risk management documentation including but not limited to: Manage physical submission and tracking of contracts and invoices ensuring timely delivery and proper filing.
Qualifications :
- Minimum of 5 years of experience in office management or general administrative affairs.
- Preferably experienced in vendor coordination and logistics management.
- Familiarity with document control and basic finance process is an advantage.
- Strong organizational and time management skill with the ability to priorities and meet deadlines while maintaining a high standard of quality.
- Attention to detail and accuracy.
- Excellent communication and vendor coordination skills.
- Proficiency in English and Microsoft Office Suite (Excel Word Outlook PowerPoint).
- Team player who is willing to adapt to changing priorities of the business.
- Ability to independently manage deadlines and support team.
