Administrative Assistant (CL-2) School of Computer Science & Mathematics

$20.66/hour - $21.70/hour

Job Summary:

Marist University invites applications for the position of Administrative Assistant (CL-2) in the School of Computer Science and Mathematics. The Administrative Assistant (CL-2) reports to the Dean of the School of Computer Science and Mathematics providing specialized support to the School Leadership Team members including assistance with program coordination event coordination data collection processing reports and completing a variety of clerical duties.

Minimum Qualifications:

The ideal candidate will be a high school graduate have 5-7 years of progressively responsible secretarial/clerical work or any combination of training experience and education sufficient to indicate an ability to do the work. All candidates must also be able to demonstrate general computer proficiency with Microsoft Office Suite.

1B-Intermediate Reception/Response
Consistently demonstrates ability to provide routine responses and basic information from inquiries (telephone e-mail or in-person) with minimal guidance. Directs visitors as needed
4C-Advanced Event Organization
Consistently demonstrates ability to organize and coordinate events (meetings workshops seminars or receptions) with minimal consultation or independently. (Examples could include scheduling speakers and securing meeting room creating invitations food & beverages overnight accommodations). May be asked to supervise events
5B-Intermediate Written Communication
Consistently demonstrates ability to create routine correspondence or update template or samples with speed and accuracy. Utilizes a comprehensive knowledge of supported word processing software
7B-Intermediate Record and Data Processing
Consistently demonstrates ability to process routine forms and records quickly and accurately using multiple programs and investigate and resolve problems such as missing or inaccurate data. Consistently demonstrates attention to detail
11B-Intermediate Word Processing
Effectively demonstrates intermediate knowledge of supported word processing software Consistently demonstrates speed and accuracy and ability to do word processing with no guidance
13B-Presentation (Software)
Effectively demonstrates intermediate knowledge of supported presentation software used in department Consistently demonstrates accuracy and ability to operate presentation software with no guidance
15B-Intermediate Interpersonal Communication
Consistently demonstrates courtesy tact and professionalism as well as sensitivity to the concerns or interests of others in conveying information. Demonstrates patience and the ability to handle difficult people
16C-Advanced Judgment
Consistently demonstrates ability to reference operational procedures within department on diversified projects and situations requiring independent assessment
18C-Advanced Organizational Knowledge
Consistently demonstrates extensive knowledge of entire College and outside organizations

Essential Functions:

  • Serve as initial contact over the phone in person and online for students employers staff faculty partner employers and the general public. Answer questions and program inquiries or refer inquiries to the appropriate person.
  • Recording filing and distribution of meeting agendas and minutes.
  • Assist with the organization and coordination of programs under the direction of School Leadership Team members particularly those managed by School-wide committees.
  • Organize and coordinate a variety of events under the direction of the School Leadership Team involving grant programs event promotion registrations and payments logistics communications to students faculty staff and external institutions and entities and basic program sponsor solicitation.
  • Maintain hard copy and/or electronic files for record keeping responsibilities.
  • Create update and proofread documents.
  • Create engaging email communications and marketing materials including event brochures and flyers for program and event promotion and student and faculty highlights.
  • Maintain and update programs websites.
  • Enter and maintain student information and faculty information in a shared electronic system.
  • Order office and program supplies as necessary.
  • Open sort and distribute program mail and packages as assigned. Process outgoing mail.
  • Possess intimate knowledge of the entire institution as required by the department.
  • Consistently demonstrate courtesy tact professionalism and the ability to successfully communicate with a variety of constituents.
  • Perform other job-related duties as required.

The School offers bachelors degrees in applied mathematics computer science cybersecurity data science and analytics games and emerging media information technology and systems mathematics and mathematics education. It also delivers masters degrees in information systems and computer science software development both in stand-alone programs and as part of a five-year B.S./M.S. curriculum. Certificates are available in data center facilities management business analytics cybersecurity z/OS and information School is also home to the Marist/IBM Joint Study program and the Institute for Data Center Professionals.
