GENERAL DESCRIPTION OF POSITION

Provides a range of administrative support functions for the Associate Vice President of Human Resources and the HR Team. This is a front-line front-facing position that performs various functions related to operations and customer service needs within Human Resources. Responsibilities include greeting customers; answering phones and emails entering data into a variety of databases; providing communications and related correspondence internally and externally via face-to-face phone and electronic methods event planning and performing other duties as assigned.

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES

  • Responsible for the management of the HR Office along with thelook feel and function
  • Serves as initial point of contact for students employees and the public via telephone e-mail and walk-ins
  • Assistanswering questions on University policies and procedures and provideguidanceas it relates to Human Resources
  • Provide quality customer service
  • Maintainconfidentiality regarding HR matters including payroll and other financial information
  • Maintaindepartment calendar on Google and advises HR staff of upcoming absences.
  • Coordinateand schedulemeetings and setroom reservations.
  • Communicateand coordinated withinternal departments to set up meeting rooms and technology utilizing multiple programs and software systems.
  • Communicaterelevant information at weekly HR staff meetings including:
    • important scheduling updates
    • event details and updates
  • Coordinate special projects supervised by the Associate Vice President of HR
  • Maintain and update HR webpages ensuring accuracy
  • Receives and disseminates mail packages and maintains the mailboxes for the HR Team
  • Conductemployment verifications for staff faculty and students according to established policies and procedures
  • Draft correspondence and memoranda
  • Performs clerical duties as needed by the Associate Vice President of HR.
  • Prepares maintains and routes: Position Descriptions Position Requisitions Personnel Action Forms Project and Work Order

JOB SCOPE

The Human Resources Coordinator is responsible for the comprehensive management and smooth operation of the HR office serving as the primary point of contact for all HR-related inquiries. This role requires exceptional organizational skills communication and a strong commitment to confidentiality as well as the ability to effectively coordinate a variety of HR functions and projects.

EDUCATION AND/OR EXPERIENCE

  • Experience in higher education preferred
  • HRIS software experience preferred (Paycom)
  • Fluent Spanish (read write speak) preferred

  • Demonstrates ability to work in a team environment.

  • Adheres to all prescribed university and departmental policies and procedures.
  • Follows complex oral and written communications.
  • Handles confidential material and associated issues with maximum discretion; maintainingconfidentiality.

  • Ability to develop and maintain respectful and effective working relationships with all university colleagues.
  • Excellent written verbal and presentation communication skills.

  • Demonstrated budgetary knowledge; analytical analysis and report generation proficiency.
  • Advanced proficiency with Microsoft Office Suite Google Suite Adobe Acrobat Pro and HRIS (Paycom preferred).
  • Knowledge of federal state and local labor and employment laws and regulations plus HIPPA regulations and compliance requirements.

WORKING CONDITIONS

  • On-site office environment at the Forest Grove campus.
  • Project timelines and deliverables require flexible scheduling and frequent communication.
  • Walking throughout campus areas for professional meetings and events.

PHYSICAL ACTIVITIES AND REQUIREMENTS

This work is sedentary in nature and requires some of the following within the scope of the job: walking pushing pulling lifting grasping talking hearing and repetitive motion.
