ABOUT THE ROLE
The Payroll and Finance Officer supports the delivery of accurate compliant and timely payroll and finance functions. This role is responsible for ensuring employees are paid correctly and on time supplier payments are managed efficiently and financial processes support strong governance and reporting. It plays a key part in supporting financial integrity and workforce wellbeing.

Key Responsibilities
Payroll Administration
Prepare and process fortnightly payroll through Employment Hero ensuring accuracy and compliance with relevant legislation award or industrial instrument.
Maintain payroll data in Employment Hero including pay rule and pay rate template data pay rate adjustments salary packaging updates and entitlements.
Liaise with HR to ensure timely processing of onboarding terminations and leave adjustments.
Ensure compliance with Single Touch Payroll (STP) and superannuation obligations.
Prepare and process month end and EOFY payroll reconciliations.
Respond to payroll-related queries from staff in a professional and timely manner.
Accounts Payable
Accurately enter and reconcile supplier invoice in Xero.
Schedule and upload payments to the online banking system for approval.
Process and reconcile debit card transactions and maintain accurate electronic records.
Ensure all expenditure is supported by valid tax documentation and is coded correctly.
Reconcile supplier statements.
Accounts Receivable
Generate and send invoices to funding bodies in line with grant or service agreements.
Record and allocate incoming payments in Xero.
Follow up overdue payments where required.
Reporting and General Administration
Assist the Finance Manager in preparing periodic financial reports payroll reconciliations tax reports and audits.
Support the maintenance of clean financial records through regular data entry document scanning digital archiving and filing.
Maintain an accurate schedule or pre-paid expenses and upcoming liabilities.
Team Responsibilities
Contribute to continuous improvement of financial systems and processes.
Participate in finance and cross-functional team meetings.

Comply with Circle Greens policies procedures and privacy obligations.
Undertake other finance or administrative duties consistent with the role and level as directed.
ABOUT YOU
Skills and Attributes
High level of attention to detail with strong numerical accuracy.
Excellent interpersonal and communication skills with the ability to explain financial matters clearly.
Ability to prioritise tasks manage deadlines and work independently with minimal supervision.
Commitment to confidentiality and discretion in handling sensitive payroll information.
Collaborative mindset and willingness to support team and organisational priorities.
Experience
Demonstrated experience in end-to-end payroll processing preferably using Employment Hero.
Proven experience in accounts payable and receivable functions.
Proven experience in end of month and reconciliation processing.
Experience with Xero or similar accounting software.
Understanding of payroll compliance requirements including STP superannuation PAYG withholding and GST.
Desirable
Certificate or Diploma in bookkeeping payroll finance or accounting.
Familiarity with the Social and Community Services Award or similar industrial instruments.
Experience working for a not-for-profit legal or community services environment.
