- They need to work in UK time zone- days are flexible but can be negotiated. 21 hours per week (flexible working including some Saturdays when required)

About the role:
The Youth Service Administrator is responsible for the administration of the Youth Service with a particular focus on organising youth events and training seminars. The role involves event planning coordination of communications and business support to ensure the smooth operation of youth ministry activities.
Key Responsibilities:
1. Executive & Business Support
- Provide direct support to the Youth Service Lead including inbox and diary management meeting coordination and follow-up.
- Maintain internal systems for task tracking scheduling correspondence and digital filing.
- Monitor the general Youth Service inbox and manage correspondence on behalf of the team.
- Coordinate financial administration (invoices expenses payments and budgeting support).
- Help implement and improve office systems and workflow efficiency.
- Prepare reports briefings and high-quality documentation as needed.
2. Event & Project Coordination
- Plan manage and deliver a portfolio of local youth events and training seminars including:
- Booking venues and managing suppliers speakers and volunteers.
- Creating timetables coordinating logistics and overseeing onsite setup (remotely).
- Managing delegate sign-ups via Jotform (or similar) including payments and communications.
- Producing post-event evaluations thank you notes and reports.
- Support national and international Catholic youth events such as Flame and Lourdes pilgrimages.
3. Communications & Promotion
- Manage the social media liasing with freelance designers to ensure the website and social media channels are up to date.
- Produce digital and print promotional materials (flyers posters event graphics).
- Maintain and organise media assets (photos videos testimonials) post-event.
- Manage contact databases and mailing lists integrating tools like Jotform and Mailchimp.
4. Volunteer & Stakeholder Coordination
- Serve as a point of contact for external stakeholders including parishes schools and suppliers.
- Track and coordinate engagement across the wider Youth Service team using tools such as Asana.
5. Other administrative or organisational tasks as required
Requirements
- Understanding of and respect for the mission and values of the Catholic Church.
- Minimum of 3 years experience in a senior administrative EA or business support role.
- Exceptional organisational and time management skills; thrives in a multi-tasking environment.
- Outstanding communication skills written verbal and interpersonal.
- Experience coordinating events communications or projects.
- Strong working knowledge of Microsoft Office (especially Word and Excel).
- Familiarity with or willingness to learn platforms such as Jotform Canva Mailchimp SumUp and Asana.
- Demonstrated ability to work both independently and collaboratively with diverse teams.
- GCSE Maths and English (A-C) & A-Levels or equivalent.
