WORKING HOURS AND LOCATION
This is an in-person position based in the Marine View Building in downtown Juneau near City Hall. The standard schedule is Monday through Friday 8:00 AM to 5:00 PM. While evening hours are not typical occasional evening work may be required to support public meetings. The City provides covered employee parking in the adjacent Marine Parking Garage.
The Administrative Officer II serves as the lead administrative professional for the Engineering & Public Works Department working under the general direction of the Department Director. This position plays a critical role in coordinating the biennial budget overseeing financial activities and guiding administrative operations across multiple divisions (Streets Maintenance Fleet Maintenance Capital Transit Utilities Water and Wastewater RecycleWorks General Engineering and CIP Engineering).
Key responsibilities include serving as the departments subject matter expert on administrative matters developing and implementing internal policies and procedures and providing high-level support to the Director and Deputy Director. The role requires strong analytical organizational and leadership skills with a focus on efficiency compliance and collaboration.
Primary duties include:
Providing executive-level administrative support to the Department Director and Deputy Director.
Conducting financial and purchasing analysis and reporting for CIP projects and overall department operations.
Coordinating reviewing and compiling the departments biennial budget.
Coordinating and facilitating training for all administrative staff in HR Purchasing Finance and related functions to ensure compliance and operational efficiency.
Ensuring alignment of recruitment and personnel management practices with departmental goals and regulations.
Leading the development and implementation of internal administrative policies processes and procedures.
Education:
High School graduation or the equivalent.
Experience:
Two (2) years of journey professional administrative experience. This is equivalent to an Administrative Officer I with the City of Juneau or the equivalent with another employer.
SUBSTITUTION:
Post-secondary educationfrom an accredited college with major course work
in Business Administration Public Administration Finance Banking
Accounting or a similar business field may be substituted for up to one (1) year
of the required experience on the basis of: three (3) semester or four (4) quarter
hours are equal to one (1) month of experience.
Other:
Some positions may require a valid Drivers license at time of appointment and for continued employment.
