The Programs Administrative Assistant II provides direct administrative support to their assigned Programs Director and department leadership team members to support program operations.
Compensation Range:
The starting pay for this position is $17.00 - $20.00 hourly rate and is based on non-discriminatory factors such as skills and experience.

- Provide direct administrative support to the assigned Programs Director and members of the department leadership team.
- Support department staff by facilitating department and interdepartmental communications.
- Support department leadership by creating presentations documents forms and spreadsheets using Microsoft Office and other tools.
- Assist with the preparation of various ad-hoc and recurring reports for assigned departments in an accurate thorough and timely manner.
- Coordinate assigned department recruiting with human resources and hiring managers including interview coordination and follow-ups.
- Assist in the coordination and preparation of meetings and committees including calendar scheduling coordinating venues preparing agendas transcribing minutes and tracking follow-up items.
- Support the coordination and facilitation of program training activities.
- Assist with department schedules and on-call scheduling.
- Maintain electronic file system to ensure that information is readily available and accessible.
- Assist with maintaining information on credentialing licensure and registrations for department staff.
- Assist with booking conference and travel accommodations for assigned staff.
- Assist with budget tracking and monitoring including collecting and submitting receipts for corporate credit card reconciliation department budgetary items etc.
- Respond to general inquiries concerning departmental activities and operations by referring to established policies procedures and work instructions.
- Provide coverage and assistance to the department administrative support team leadership and other department staff as requested.
- Attend and conduct meetings in-person in the office or the community virtually through video (audiovisual) and by phone (voice only) as required.
- Travel off-site as needed for various opportunities including meetings conferences activities and events.
- Assist with special projects as assigned.
- Ensure that the CNS Healthcare standards of service are applied to interactions with individuals served guests and staff.
- Participate in and promote departmental and agency quality improvement initiatives.
- Assume responsibility for professional growth by current reading and attendance at educational programs and conferences.
- Maintain knowledge and compliance with established policies and procedures corporate compliance program code of ethics applicable federal state and local laws and regulations HIPAA standards and other regulatory programs.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent
- Valid and unrestricted Drivers License
- Transportation or Automobile accessibility with current automobile/vehicle insurance meeting agency policy requirements
- At least 2 years of experience providing administrative support in a healthcare setting.
- Proficient with computers and Microsoft office products including Word Outlook PowerPoint Excel SharePoint and Teams.
- General understanding of computer hardware and software systems.
- Ability to format documents and use proper grammar punctuation and spell check.
- Ability to analyze information research issues pay attention to detail and meet deadlines.
- Ability to operate standard office machines such as photocopiers faxes computers and video/tele-conferencing equipment.
- Ability to understand and value cultural and ethnic differences their alternatives perspectives lifestyles etc.
- Ability to work collaboratively and build positive working relationships.
- Ability to communicate effectively professionally and courteously.
- Ability to use discretion and judgment when handling matters of a sensitive or confidential nature.
- Ability to be forward thinking and take initiative to accomplish goals and objectives of the department.
Preferred
- College courses completed towards a degree program.
- Prior experience behavioral health and/or community mental health settings.
- Proficient in medical terminology used in the mental health setting
- General knowledge of the community mental health system based on the Michigan Mental Health Code and MDHHS contracts
- Prior experience in project coordination and management.
