Job Description

Thompson Engineering is seeking a detail-oriented and proactive Administrative Assistant in our Mobile AL office to support our Construction Engineering & Inspection (CE&I) Team. This role plays a key part in ensuring the efficient day-to-day operations of the office by performing a variety of administrative clerical and project coordination tasks. The ideal candidate is organized adaptable and capable of handling multiple responsibilities in a fast-paced environment.

Key Responsibilities

  • Provide comprehensive administrative support to the CE&I Team.
  • Manage and coordinate staff schedules and appointments.
  • Prepare correspondence reports meeting agendas and other client-related
    documents.
  • Set up and maintain project and activity files.
  • Compile and submit project set-up information and billing profiles.
  • Maintain accurate records of staff licensure certifications and training.
  • Prepare meeting notes from internal and pre-construction meetings.
  • Assist in tracking and maintaining project expenditures labor hours and labor-related
    expenses.
  • Maintain electronic field books and contractor certified payrolls.
  • Complete timesheets and expense reports for CE&I staff.

Additional Responsibilities

  • Conduct all work in compliance with Thompson Engineerings Health Safety &
    Environmental Management System and safety protocols.
  • Actively participate in safety meetings toolbox talks and safety initiatives.

Minimum Requirements

  • High School diploma or equivalent.
  • Minimum of one (1) year of experience in a professional office setting.
  • Strong written and verbal communication skills.
  • Self-motivated with the ability to work independently and collaboratively.
  • Proficient in Microsoft Word Excel and Outlook.
  • Valid drivers license.
  • Flexible availability including willingness to work overtime based on department
    needs.


Physical Requirements

  • Ability to sit for extended periods and operate office equipment.
  • Ability to stoop bend and lift files or office materials.
  • Must be able to safely drive a company or personal vehicle.
  • Ability to lift and carry up to 25 lbs.
