Job Description

Note: This position requires employees to be on-site five days a week at either the San Rafael Oakland or Westlake Village CA office.

Job Description

  • Assist attorneys with all aspects of trust administration ensuring compliance with legal and procedural requirements.
  • Prepare trust administration documents including certifications of trust trustee notifications and affidavits.
  • Handle real property transfers including grant deeds affidavits and related assessor forms.
  • Coordinate with trustees beneficiaries financial institutions and other professionals throughout the trust administration process.
  • Prepare estate valuation reports asset inventories and trust funding documentation.
  • Assist with trust distributions including preparing distribution summaries waivers and receipts.
  • Draft and file probate-related documents as needed.
  • Maintain accurate client records case notes and deadlines in legal case management software.
  • Provide administrative support including scanning filing and organizing trust administration documents.
  • Attend regular team meetings and participate in ongoing legal education.

Qualifications

  • Paralegal Certificate required.
  • Minimum of three years of trust administration experience preferred.
  • Strong knowledge of estate planning trust administration and related legal procedures.
  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail.
  • Proficient in Microsoft Office and legal case management software.
  • Ability to handle confidential information with discretion.
  • California Notary Public certification or willingness to obtain.
