This position handles a wide variety of office duties as the assistant to the probation staff and director. A Staff Assistant performs secretarial clerical fiscal and administrative duties. It requires the maintenance of records and accurate record keeping filing systems and inventories under the supervision of the director of probation. Provide various probation related administrative work.
Essential Duties
Work involves handling and preparing court dockets setting up files maintaining files scheduling meetings and addressing any court personnel requests. Correspond with probationers court employees attorneys and providers clearly both verbally and in writing. Applicant should be detail oriented work well under pressure and assist probation officers with clientele. Provide clients with resources and information. Perform various probation related administrative work. Assist in maintaining and coordinating the preparation of budget reports. Process disbursement requests. Examines budget and purchasing documents to insure reconciliation with the clerks financial report. Receives and routes telephone calls answering questions coordinating the preparation of budget reports. Maintains complex filing system and handles confidential information. Performs related work as needed.
Knowledge of English grammar spelling punctuation arithmetic and modern office practices and procedures. Considerable knowledge of organizational rules regulations office practices and procedures. Ability to compose effective and accurate correspondence and deal with non-routine matters such as completing complex work with minimum instructions. Ability to keep records and reference files to assemble organize data and to prepare composite reports from such data. Ability to maintain confidentiality when processing documents of a sensitive nature.
Establish and maintain effective working relationships with coworkers and other governmental organizations professional colleagues and public citizens. Knowledge of routine judicial work of the County court principles and practices of probation. Ability to prepare orders required by County court. Knowledge of local and regional law enforcement programs is desirable.
Any applicant being considered for employment with the Wakulla County Probation Department must successfully complete a State and National criminal history check as a condition of employment. Within 30 days of employment fingerprinting for State and Federal criminal records checks through the Florida Department of Law Enforcement (FDLE) and Federal Bureau of Investigations (FBI) will be conducted.
