Position Summary
Reporting to the Principal Educator the campus Secretary performs duties to establish and support the smooth and efficient operation of the campus. The School Secretary is responsible for the day-to-day management of the front reception area; office equipment; and to ensure the effective communication between teachers parents and students.
This is a 10-month position.
Position Functions and Responsibilities
- School Office Operations
- Provides reception services on telephone and for the front office includes greeting parents and students at front counter
- Enters data into the Student Information System that may include inputting of grades and marks and producing reports
- Updates class lists
- Assists in booking field trips school activities student/parent/teacher interviews and special events
- Records daily attendance tracking lates and extended absences
- Assists in coordinating transportation with bus monitors and communication with Transportation Coordinator
- Distributes internal and external mail/email
- Maintains office bulletin boards
- Office Maintenance
- Maintains the office equipment: photocopier laminator fax machine; ordering supplies booking service calls
- Trains staff and volunteers in the operation of the equipment
- Orders and distributes office supplies
- Maintains supplies in First Aid kits files injury reports maintains medical records
- General Support
- Provides support to all school staff
- Assists with school start-up and shut-down
- Schedules of new student assessments and assists in the registration of returning students
- Assembles and distributes report cards
- Provides minor first aid
- Orientates new teachers guest teachers and volunteers on office procedures
- Other related duties as assigned
Qualifications Education:
- High School diploma required
- Post-secondary diploma or certificate in office administration is preferred
Desired Experience and/or Training: - Previous experience within a school office environment
- Familiarity with Student Information Systems
- Previous experience in bookkeeping
- Strong interpersonal skills working with students parents and staff.
- Leadership skills.
- Strong organizational skills.
- Capable of taking initiative and working independently.
- Flexible.
- Proficient with Microsoft Office Suite
- Successful Criminal Reference Check including vulnerable sectors (within 3 months of contract start date).
