Purpose:Organize and manage the routine office activities of the special education/special services department including providing clerical support to the directors and department administrators.
Qualifications:
Education/Certification:
- High school graduate or GED
- Must have an Associates Degree or have a minimum of 48 semester hours of higher education coursework or pass a district test
Special Knowledge/Skills/Abilities:
- Computer skills including Word Outlook Excel and Office 365 knowledge
- Flexible and able to adjust daily routine
- Able to interpret instructions complete tasks within timelines and multi-task
- Demonstrate a professional attitude
- Good organizational and human relations skills
- Bilingual (English/Spanish) skills preferred
Experience:
- Three (3) years secretarial experience preferred
- Three (3) years experience working with special education preferred
Major Responsibilities and Duties:
Program Management
- Transcribe and prepare various kinds of correspondence reports notices recommendations etc.
- Obtain gather and organize pertinent data as needed and put it into usable form.
- Maintain a regular filing system including electronically as well as a set of confidential files (if required) and process incoming correspondence as instructed.
- Place receive and screen telephone calls and record messages.
- Order and maintain supplies as needed.
- Receive visitors vendors etc.
- Collect sort and deliver mail.
- Assist in organizing materials and facilities for meetings.
- Prepare correspondence forms manuals reports presentations and other documents for the administrator(s) assigned.
- Monitor and maintain department records as appropriate.
- Manage projects and lead other department secretaries to ensure completion of all tasks.
Other
- Follow district safety protocols and emergency procedures.
- Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
- Implement alternative methods of instruction as needed.
- Perform other duties as assigned.

Performance of this job will be evaluated in accordance with provisions of the Boards policy on evaluation of Non-Instructional Paraprofessional Personnel.

Posture: Standing prolonged sitting occasional kneeling/squatting bending/stooping pushing pulling and twisting
Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching; may also require climbing stairs and reaching over head
Lifting: Moderate lifting and carrying (up to 15 pounds); May require occasional heavy lifting and carrying (15-45 pounds)
Environment: May work prolonged or irregular hours; frequent district wide travel; all campuses are temperature controlled with hard surface floors
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
