Job Title: Executive Assistant
Location: Bhandup Mumbai
Reports To: Managing Director
Job Summary:
The Executive Assistant will provide administrative support to the Managing Director by managing schedules coordinating meetings handling reports and ensuring smooth day-to-day operations. The ideal candidate should be highly organized possess excellent communication skills and demonstrate strong proficiency in data management and reporting.
Key Responsibilities:
Calendar Management:
Manage the calendar schedule meetings and coordinate appointments.
Arrange and prepare materials for meetings ensuring timely follow-ups on action items.
Handle travel arrangements including bookings and itinerary planning.
Coordination:
Act as a point of contact between the executive and internal/external stakeholders.
Ensure seamless coordination across teams for meetings events and special projects.
Draft and manage emails reports presentations and other business communications.
Reporting:
Maintain and update records databases and dashboards.
Prepare reports and presentations using Excel and other tools.
Track key metrics and provide insights through data analysis.
Administrative Support:
Ensure systematic organization of tasks and priorities to enhance productivity.
Manage confidential documents and information with discretion.
Required Skills & Qualifications:
5 to 10 years of experience in similar roles.
Experience in working with senior leadership teams.
Strong verbal and written communication skills.
Excellent coordination and multitasking abilities.
Proficiency in MS Excel PowerPoint and reporting tools.
Strong time management and organizational skills.
Ability to handle confidential information with discretion.
Prior experience as an Executive Assistant role is preferred.
