We are seeking a highly organized and detail-oriented individual to manage and support the operational and administrative execution of international and country-level medical engagement projects across the CEE region. This role plays a critical administrative and project coordination function in ensuring timely and compliant delivery of medical programs and scientific initiatives.
Key Responsibilities:
- Project Management & Administrative Execution:
- Lead the end-to-end planning coordination and administrative support for internal and external medical/scientific events including logistics HCP engagements vendor coordination and documentation.
- Maintain accurate project timelines budgets and KPI tracking using appropriate systems and tools ensuring all milestones are monitored and reported in a timely and structured manner.
- Medical Programs Operational Support:
- Support execution of Managed Access Programs (MAP) scientific communication activities medical training and evidence generation initiatives with a strong emphasis on logistics documentation and stakeholder coordination.
- Liaise with internal cross-functional teams (Medical Legal Compliance Regulatory) and external stakeholders to ensure smooth administrative flow of programs.
- Process & Systems Optimization:
- Contribute to the optimization of medical processes and internal communication workflows enhancing operational efficiency across countries.
- Ensure full compliance with internal SOPs and external regulations maintaining auditable records and documentation.
Qualifications :
Education/Learning Experience
- Pharmacist biological science or business university degree.
- 3 years experience in pharmaceuticals or complex FMCG environment managing complex end-to-end activities and interfacing VIP/KOL customers on regular basis.
- Proven experience in project management program administration or medical event logistics in a pharmaceutical life sciences or biochemical industry environment.
- Strong organizational and time-management skills; ability to manage multiple projects with attention to detail.
- Excellent communication skills (written and verbal) in English; other regional languages (e.g. Romanian) are an advantage.
- Proficiency in MS Office project tracking tools and collaboration platforms (e.g. SharePoint Smartsheet Teams).
Additional Information :
This role will be office based with the possibility to work from home in agreement with the line manager. Candidates need to be flexible to travel to business meetings and support Sobi activities at international and regional meetings.
